Job summary

Permobil, Inc. is seeking a Payroll Specialist to manage US and Canadian payroll for about 1,000 employees. The role uses ADP Workforce Now to process salaries, bonuses, and deductions, while ensuring compliance with payroll laws and regulations across jurisdictions.

The candidate will coordinate with Accounting, Benefits, and People & Culture to resolve issues and drive payroll improvements, with a remote, full-time work arrangement.

Qualifications

  • Requires CPP designation and 4–5 years of U.S. payroll experience.
  • Experience processing payroll for 1,000+ employees across multiple U.S. states and Canadian provinces.
  • Proficiency with ADP Workforce Now and payroll tax regulations.

Responsibilities

  • Process and audit the biweekly payroll cycle in the United States and Canada for ~1,000 employees, including salaries, commissions, bonuses, benefits, garnishments, taxes, and other deductions using ADP Workforce Now.
  • Process and audit employee timesheets to ensure compliance with policies and federal/state/provincial/local regulations.
  • Ensure accurate processing of payroll changes including hires, terminations, and pay rate adjustments.
  • Ensure compliance with payroll, wage and hour, and tax regulations in the U.S. and Canada.
  • Respond to governmental agencies regarding payroll taxes, garnishments, audits, and related inquiries.
  • Prepare payroll reports, reconciliations, and analyses.
  • Collaborate with Accounting, Finance, Benefits, and People & Culture teams to resolve payroll issues.
  • Reconcile multi-state and multi-provincial payroll registers, tax filings, garnishments, and deductions.
  • Complete the year-end Canadian vacation accrual true-up.
  • Respond to payroll inquiries in a timely and professional manner.
  • Drive payroll process improvements and communicate changes.
  • Own registration activities for new tax jurisdictions.
  • Maintain relationships with external payroll providers and ensure system updates are implemented.
  • Support internal and external payroll audits and maintain payroll documentation.
