Remote Payments Reconciliation Lead — Build & Lead Team

Job summary

Finalsite seeks a Payments Reconciliation Lead to build and run the reconciliation service for its district customers. This 100% remote, contract-to-hire role reports to the CFO and collaborates with Customer Success and Product to ensure accurate daily district numbers.

You will set up procedures, hire and train a small team, and manage daily tracking, quality reviews, and client reporting. Finance is the owning department for this role.

Qualifications

• 5+ years in accounting operations, treasury, payments or merchant services, with bank or settlement reconciliation as your own daily work.
• 2+ years leading reconciliation or back-office team, temp or offshore staff a plus.
• Experience writing procedures and quality checks that others follow.
• Working knowledge of card dispute and chargeback process from merchant side.
• Experience producing or validating ERP import files. Munis a plus.
• Advanced Excel: lookups, SUMIFS, pivots, large CSV cleanup.
• Ability to explain a reconciliation break to non-accountants.
• CPA, CMA or accounting degree is a plus.
• Payment processor, payment facilitator or bank operations background is a plus.
• K-12 or public sector fund accounting is a plus.
• Experience managing staffing partner or offshore vendor.
• Experience handing a manual process to a product team to automate is a plus.

Responsibilities

• Convert each district's reconciliation workflow into written procedures with quality checks.
• Hire and train 5 to 10 reconciliation specialists via staffing partner or offshore vendor.
• Maintain a daily tracker of tasks, clients, and reviewers.
• Review every file before it leaves; nothing goes unchecked.
• Send weekly client status reports to Customer Success Manager.
• Own handoff of notices with full order and transaction details.
• Rebuild line-item orders in Web Store and align with settlement files.
• Create ERP-ready correction files in district import formats (e.g., Munis).
• Reconcile orders and fix-file details to the settlement deduction.
• Extend approach to delayed/unfunded transactions, disputes, NSF returns.
• Maintain a ranked list of slow reports and automation opportunities for Product/Engineering.
• Track hours and capacity per client; compare US temps vs offshore.
• Define performance metrics: same-day completion, cutoff adherence, and fast dispute resolution.
