Job summary

Zipdev LLC is recruiting a senior Patient Care Coordinator for a Newport Beach area aesthetic medical practice. The role blends consultative sales with superior patient service, handling inquiries, pricing discussions, and booking through a premium, relationship-driven approach.

You will manage leads via GoHighLevel, maintain a polished client experience, and drive conversions from inquiry to consultation while working remotely across Pacific Time with occasional after-hours coverage.

Qualifications

• 3+ years in consultative sales serving high-end clientele.
• Fluent English with excellent spoken and written communication.
• Proven track record of meeting or exceeding sales targets.
• Experience handling inbound leads, follow-ups and conversions.
• Familiar with GoHighLevel CRM and mobile app.
• Ability to manage multiple conversations and follow-up effectively.
• Comfort discussing premium pricing without aggressive tactics.
• Availability for 40 hours/week in Pacific Time, including evenings and weekends.

Responsibilities

• Respond to new patient inquiries via phone, text, email, web forms and social media.
• Manage all incoming leads through GoHighLevel, ensuring timely communication.
• Lead consultative conversations to understand goals, timelines and budget.
• Explain treatments and pricing in a professional, discreet manner.
• Convert inquiries into booked consultations with confident ask-to-book.
• Follow up with non-responsive leads using established sequences.
• Reactivate past patients by offering relevant services and appointments.
• Confirm consultations and assist with rescheduling and no-shows.
• Maintain accurate GoHighLevel pipeline with notes and next steps.
• Prepare detailed handoff notes for providers before consultations.
• Monitor response times, conversion rates, and reasons for no bookings.
• Suggest improvements to scripts, sequences, and CRM workflows.
