CHOICES Case Management, Inc. is seeking an Administrative Assistant to support our Nurse Case Managers in a fast-paced healthcare environment.

This role serves as the operational backbone, ensuring details are handled, communication flows smoothly, and nothing slips through the cracks. In this role, you'll open new cases quickly and accurately, maintain HIPAA-compliant documentation, and coordinate tasks, follow-ups, and deadlines to support the care team remotely.

Qualifications

• 2+ years of experience in a medical or clinical office setting (administrative or assistant role).
• Familiarity with the Workers' Compensation industry (strongly preferred).
• Experience working remotely, with proven ability to stay focused, organized, and accountable.
• Excellent written and verbal communication skills.
• Comfort managing high volumes of work, frequent interruptions, and shifting priorities.
• Strong organization, time management, and follow-through.
• Proficiency in business writing, basic math, and typing (40+ WPM).
• Availability to work Monday-Friday, 8:00 a.m.-5:00 p.m. PST.

Responsibilities

• New cases are opened quickly, accurately, and in compliance with HIPAA.
• Clients and care team members feel welcomed, informed, and supported from day one.
• Documentation is organized, reviewed for accuracy, and properly tracked.
• Task lists, follow-ups, and deadlines are actively managed.
• Nurse Case Managers have a dependable right hand they can trust completely.
