Job summary

CHOICES Case Management is seeking an Administrative Assistant to support our Nurse Case Managers in a fast-paced setting. This role serves as the operational backbone, ensuring accurate case openings, thorough documentation, and proactive follow-up to keep care teams informed and clients supported.

You will manage multiple tasks with strong organization and communication, help ensure HIPAA compliance, and collaborate with nurses to provide reliable administrative support across the team.

Qualifications

• 2+ years of experience in a medical or clinical office setting (administrative or assistant role)
• Familiarity with the Workers’ Compensation industry (strongly preferred)
• Experience working remotely, with proven ability to stay focused, organized, and accountable
• Excellent written and verbal communication skills
• Comfort managing high volumes of work, frequent interruptions, and shifting priorities
• Strong organization, time management, and follow-through
• Proficiency in business writing, basic math, and typing (40+ WPM)
• High standards for accuracy, integrity, confidentiality, and professionalism
• Availability to work Monday–Friday, 8:00 a.m.–5:00 p.m. PST

Responsibilities

• Serve as the operational backbone for the nursing team, handling administrative tasks and coordination
• Open new cases quickly, accurately, and in HIPAA-compliant manner
• Ensure clients and care team members are welcomed, informed, and supported from day one
• Organize, review for accuracy, and properly track documentation
• Manage task lists, follow-ups, and deadlines; support Nurse Case Managers
