Job summary

Ellie Mental Health, PLLP is seeking a warm, organized Front-End Operations Support to be the first contact for patients, handling calls and emails in a remote, part-time role. You will support intake and scheduling, use EMR systems like Valant, and coordinate with the clinical team to ensure smooth access to mental health services.

This 10-15 hour/week position requires reliability, empathy, and strong communication.

Qualifications

• 1+ year in healthcare customer service or scheduling (mental health preferred)
• Strong written and verbal communication with empathy
• Remote work with minimal supervision
• Proficient with EMR, email, and phone systems
• HIPAA privacy and security compliance
• Experience working directly with clients

Responsibilities

• Serve as primary contact for calls and emails from prospective and current clients
• Answer questions about services, scheduling, and provider info
• Schedule, reschedule, and confirm appointments in EMR
• Track patient inquiries and follow up to improve conversion
• Coordinate with clinical staff on provider availability, cancellations, urgent needs
• Provide patients with intake forms, insurance, and billing info
• Log communications in EMR or other systems
• Escalate complex clinical or billing questions
