Job summary

MaineHealth Institute for Research in Scarborough, ME is seeking a Grants Administrator/Senior GA to support pre-application and intake tasks. The role includes monitoring the team inbox, updating intake records, and assembling application packages with deadlines tracked against internal milestones.

Candidates should have a Bachelor’s degree and substantial experience in grant writing/administration within health-related fields, including coordinating large grants.

Qualifications

• Bachelor's degree required; master's preferred.
• Five years of progressive experience in grant writing and administration in health-related field.
• Ability to coordinate large grants (over $100,000) and/or contracts from various sources.
• Experience with online submission systems preferred.

Responsibilities

• Assist with pre-application and intake tasks for grant submissions.
• Monitor team inbox and reconcile requests with existing tickets.
• Create or update intake records and save supporting correspondence.
• Build requirement and attachment checklists from sponsor instructions.
• Route requests to Grants Administrator for prioritization and review.
• Assemble application packages and track outstanding items against deadlines.
• Maintain reporting calendars and award trackers; prepare weekly deadline notices.
• Coordinate updates for expanded AORs as workflows evolve.
