Job summary

Assist World is seeking a meticulous Virtual Assistant to manage Amazon/Walmart operations remotely, focusing on execution and consistency with established systems. You will ensure processes are followed, monitor inventory, and coordinate orders across channels.

The role requires strong attention to detail, proficiency with Excel and QuickBooks, and the ability to manage multiple tasks in a fast-paced environment. This is a long-term, fully remote position with growth potential.

Qualifications

• Strong attention to detail and reliability.
• Ability to follow SOPs and processes accurately.
• Experience with Excel/spreadsheets.
• Basic experience with QuickBooks (invoicing, order entry).

Responsibilities

• Monitor and forecast inventory levels using existing templates.
• Plan and execute inventory replenishment.
• Place purchase orders with vendors.
• Coordinate shipments with freight carriers.
• Track inventory movement and ensure lead times are met.
• Process Walmart Direct Orders twice daily (morning & afternoon).
• Download order reports and upload into ShipStation.
• Generate and organize shipping labels by SKU.
• Send sorted labels to warehouse for fulfillment.
• Upload tracking numbers back into Walmart.
• Review Walmart bulk orders and coordinate inventory with warehouse/vendor.
• Schedule and manage carrier pickups.
• Generate documentation: BOL, ASN, Invoice.
• Maintain inventory levels across all channels.
• Track overseas shipments with 60-90 day lead times.
• Provide weekly production quotas to vendors.
• Assist with pricing and sourcing.
• Enter all transactions into QuickBooks (sales orders, invoices, payments).
• Maintain clean financial records.
• Daily checks on product listings and ad placements.
• Enter inventory received from vendors.
• Open and manage cases with Amazon/Walmart when issues arise.
