Job summary

The Mom Project is seeking a Senior Business Operations Program Manager on a contract basis. This remote role will drive cross-functional approvals, governance, tooling implementation, and data-driven reporting for critical business processes.

Qualifications

• 5+ years in business operations, program/project coordination, or process management.
• Experience running a recurring, deadline-driven process with executive stakeholders.
• Experience gathering requirements and partnering with engineering or product teams on internal tool implementation and UAT.
• Strong written communication for senior leadership.
• Analytical and organizational skills with high attention to detail while managing parallel workstreams.
• Proficiency with Google Workspace and project tracking tools.
• Confidentiality handling of sensitive information.

Responsibilities

• Facilitate internal approvals (ATP/CA) and run weekly cadence end to end.
• Quality-control approval decks and intake submissions against templates.
• Maintain approvals tracker as source of truth with dates and links.
• Coordinate cross-functional sign-offs and keep SLAs.
• Support live deal review prep and post-meeting follow-up.
• Maintain approvals hub, process docs, diagrams, and glossary.
• Lead tooling implementation and testing for new portfolio management platform.
• Define and test approval workflows, notifications, and phase gates.
• Log feedback with engineering and drive data cleanup and migration.
• Manage access control and routing of access requests.
• Run user testing, build scenarios, capture feedback.
• Draft updates for director/VP audiences and leadership reviews.
• Maintain distribution lists and ensure appropriate detail delivery.
• Produce dashboards and recurring reporting on approvals, pipeline, cycle time.
• Collaborate with data/analytics on sources of truth.
• Document workflows, identify gaps, and propose scalable fixes.
• Identify automation opportunities to reduce manual work.
• Develop playbooks, templates, and standards.
• Plan rollout and adoption for process/tooling changes; train teams.
• Coordinate train-the-trainer enablement and track adoption.
