Job summary

The American Institute of Architects (AIA) is seeking a Communications Operations Manager to lead cross-functional project management for communications initiatives. You will manage intake, schedules, and timelines across the Communications team, coordinating with Marketing and Events to ensure on-time, on-channel delivery.

You will oversee freelancers and subject-matter experts, optimize workflows, and provide regular progress reports to senior leadership.

Qualifications

• Bachelor's degree in Communications, Marketing, Business Administration, or a related field.
• 4+ years of experience in communications operations, project management, or a similar role; strong focus on traffic and task management.

Responsibilities

• Manage day-to-day intake requests for Communications projects, ensuring stakeholder alignment.
• Create detailed schedules and tactical project plans for Communications initiatives.
• Track project timelines, checkpoints, and results; maintain up-to-date files.
• Monitor projects and adjust tasks to ensure timely delivery and distribution across channels.
• Communicate project plans and progress to Communications leads; resolve timeline issues.
• Coordinate intake requests across the Communications team for efficient workflow.
• Coordinate with Marketing Operations Manager to sync cross-team campaigns.
• Coordinate with Director of Events and Sponsorship Marketing for sponsored content schedules; monitor metrics.
• Assist with coordination of freelance contributors and subject matter experts.
• Understand and manage internal processes, turn-around times for production, review and approval.
