The American Institute of Architects (AIA) seeks a Communications Operations Manager to lead project work across the Communications group, ensuring smooth workflows and timely distribution of AIA messages across channels. This role supports cross-team collaboration and coordinates with freelance contributors as needed.

You will track timelines, manage intake requests, and provide regular progress updates to senior leadership, focusing on improving traffic management and operational efficiency

Qualifications

• Bachelor's degree in Communications, Marketing, Business Administration, or related field.
• 4–5+ years of experience in communications operations, project management, or similar role.
• Strong focus on traffic and task management; ability to manage multiple projects simultaneously.
• Proficiency with Smartsheet or similar PM tools is essential.

Responsibilities

• Manage day-to-day intake requests for Communications projects.
• Create detailed schedules and tactical project plans for Communications initiatives.
• Track timelines, checkpoints, and results; keep files updated.
• Monitor projects and adjust tasks to ensure on-time delivery across channels.
• Communicate project plans and progress to Communications leads.
• Coordinate with Marketing Operations Manager to sync cross-team campaigns.
• Support coordination of freelance contributors and subject matter experts.
• Develop and maintain SOPs; assist with invoicing processes for the team.
