Job summary

Scale Virtually LLC is seeking a Commercial Property Manager VA to support day-to-day operations of a commercial property in Indianapolis. This is a fully remote position.

You will manage leasing, tenant requests, maintenance, and documentation with minimal supervision. You will handle multiple workflows including prospect tenant activity, lease paperwork, move-ins/move-outs, maintenance requests, vacancy updates, floor plan changes, and property documents, coordinating with tenants, vendors,

Qualifications

• Proven work experience in property management with actual workflows.
• Excellent written and verbal English communication.
• Proficiency in AppFolio or similar systems.
• Ability to manage multiple property-management tasks concurrently.
• Strong problem-solving and escalation judgment.
• Attention to vacancy info, leases, work orders, and documents.
• Ability to work independently in a remote async environment.
• Communicate early when issues are blocked or information is missing.
• Comfort working across leasing, maintenance, marketing, and docs.

Responsibilities

• Keep vacancies current on LoopNet MLS and update unit status.
• Coordinate floor plan updates with architect and update materials.
• Maintain accurate unit information across marketing and internal records.
• Own updating floor plans using AutoCAD or similar tool.
• Screen rental applications by gathering and organizing required information.
• Communicate with tenants and applicants throughout leasing process.
• Prepare lease documents and ensure information is complete.
• Coordinate lease signings and follow up on outstanding documentation.
• Coordinate move-in/out processes and ensure necessary information exists.
• Support lease renewals by tracking upcoming renewals and steps.
• Coordinate maintenance with internal team and vendors.
• Track open maintenance requests and escalate delays when needed.
• Keep work order information current and visible to the team.
• Escalate issues when information is insufficient.
