Job summary

Swooped in the United States is seeking a Chief of Staff to design, build, and lead internal operations. Reporting to the CEO, you will translate executive priorities into actionable operational initiatives and partner with the leadership team to drive performance in a fully remote, distributed organization.

This senior, hands-on role involves leading a small operations team, guiding cross-functional projects, and creating scalable systems.

Qualifications

• Experience owning complex operations or cross-functional initiatives.
• Proven track record in high-demand organizations with progressive ops responsibility.
• Ability to handle confidential matters with discretion.
• Self-directed with strong prioritization in ambiguous environments.
• Executive presence to represent senior leadership.
• Strong interpersonal skills and accountability.
• Detail-oriented with strong organizational skills.
• Excellent written and verbal communication; capable of polished presentations.
• Experience leading a small internal team.
• Work authorization: US work permit required; visas not sponsored.

Responsibilities

• Design and improve internal systems, policies, and processes for a fully remote org.
• Own day-to-day internal operations and resolve issues independently.
• Represent leadership in meetings, advance initiatives, and make delegated decisions.
• Lead cross-functional initiatives from concept to execution with stakeholders.
• Participate in leadership meetings, adding operational perspective while handling sensitive matters.
• Lead and develop a small internal operations team for administration and events.
• Oversee programs and gatherings to maintain organizational connection.
• Coordinate leadership communications, including all-hands and updates.
• Identify recurring bottlenecks and build scalable processes.
