Job summary

Lancesoft is seeking an Event Specialist/Communications to own end-to-end planning and execution of the company's channel and sales events. This remote, 12-month contract role covers venues, vendors, registrations, on-site operations, and post-event analysis, with a focus on delivery of high-impact partnerships and business outcomes.

Qualifications

• 5+ years coordinating corporate events, ideally B2B channel, dealer, distributor, or sales events.
• Demonstrated ownership of events at 100+ attendee scale, including multi‑day agendas.
• Working knowledge of hotel and venue contracts, attrition clauses, and F&B minimums.
• Proficiency with event registration platforms (Cvent, Splash, Eventbrite, or similar).
• Strong budget tracking and vendor management discipline.
• Proficiency with Microsoft 365 (Outlook, Excel, PowerPoint, Teams, SharePoint).
• Excellent written and verbal communication with partner‑facing professionalism.
• Ability to travel and work non‑standard hours during event windows.

Responsibilities

• Planning & Logistics: Source and evaluate venues, hotels, and meeting space; manage room blocks and F&B; build calendars, run-of-show, and timelines; coordinate AV, staging, signage, shipping, and on-site materials.
• Vendor & Budget Management: Solicit bids, compare proposals, and route contracts; track budget vs. actuals and reconcile invoices; maintain vendor scorecard.
• Registration & Attendee Experience: Build registration sites, invitations, reminders, and attendee lists; manage dietary/accessibility accommodations; prepare name badges and kits.
• On-Site Execution: Lead set-up, staffing, and teardown; manage run-of-show; coordinate speakers and sponsor/exhibitor partners; handle issues onsite.
• Post-Event: Gather surveys, deliver summary with metrics, reconcile final budget, build reusable playbook.
• Cross-Functional Coordination: Work with channel marketing on collateral and assets; coordinate with regional managers on invitations and logistics; support sponsorships.
