Job summary

Saddleback Memorial Medical Center is hiring a Registration Representative for the Fountain Valley, CA location. This full-time role handles patient registrations for procedures, admissions, and ER visits, verifying demographics and insurance to ensure accurate billing and smooth patient flow.

The ideal candidate has 1–2 years in hospital admitting or equivalent, strong communication skills, and familiarity with Epic EMR. Bilingual abilities are preferred; high school diploma required.

Qualifications

• 2+ years hospital admitting, physician office, or similar healthcare experience.
• Clear verbal and written communication skills.
• General understanding of insurance payors (PPO, HMO, POS, EPO, Medicare, Medi-Cal, CalOptima).
• Bi-lingual (English/Spanish or English/Vietnamese) preferred.
• Proficient computer skills incl. EMR and MS Office.

Responsibilities

• Register patients for procedures, admissions, outpatient and ER visits in Epic.
• Verify demographics and insurance information for accurate identification and billing.
• Collect and post patient financial responsibility; drop payments in the cash drawer.
• Maintain registration accuracy rate at 95% or higher and monitor work queues.
• Answer PBX calls professionally and route as needed.

Position Summary

This position requires the full understanding and active participation in fulfilling the mission of Orange Coast Medical Center. The Registration Representative is under the direction of the Supervisor/ Manager and is responsible for completing all registrations of patients presenting for procedures, admissions, outpatient and ER visits. The Representative must obtain and verify demographic and insurance information so that the patient can be accurately identified and billed for their services. The Registration Representative is responsible for collecting and posting the patients financial responsibility in Epic and immediately dropping the payment in the safe or locked cash drawer. Excellent customer service must be maintained with all patients, visitors, clinicians, and co-workers.

Essential Functions and Responsibilities of the Job

• 1. Ability to communicate effectively in written and verbal form.
• 2. Adheres to department policy of using two patient identifiers.
• 3. Avoids HIPAA violations by choosing correct MRN and interviews, registers, and pre-registers patients timely and accurately in Epic.
• 4. Ensures all registration forms are complete, signed, and scanned. Enters notes in Epic as required.
• 5. Ability to provide excellent customer service using Simply Better and AIDET principles.
• 6. Collects and posts payments timely and accurately. Immediately drops payment in safe or cash drawer.
• 7. Maintains registration accuracy rate of 95% or better.
• 8. Monitors and manages work queues.
• 9. PBX: answers calls timely, professionally, and routes calls appropriately. Ability to understand and follow all emergency codes and alarm paging protocols.
• 10. Ability to be at work and be on time.
• 11. Ability to follow company policies, procedures and directives. Supports department performance improvement activities. (Meetings, employee engagement survey, education, and training activities).
• 12. Ability to interact in a positive and constructive manner.
• 13. Ability to prioritize and multitask.

Placement in the pay range is based on multiple factors including, but not limited to, relevant years of experience and qualifications. Experience

• 1-2 years of experience in hospital admitting, physician office, or equivalent healthcare
