Job summary

Bladen Community College is seeking a Registrar to coordinate and manage curriculum and continuing education records, registrations, and related processes. The role ensures secure, accurate records and compliant reporting across admissions, graduation, and registration cycles.

The Registrar will monitor funding sources, oversee tuition and fee receipts, and serve as a liaison with faculty and the Business Office.

Qualifications

  • Bachelor's degree; or an Associate's degree in a related field from an accredited institution with three to five years related experience; or equivalent combination of education and experience.
  • Strong organizational and recordkeeping skills; experience with student records preferred.
  • Ability to read, analyse, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations; ability to write reports and present information.
  • Spanish language abilities preferred.

Responsibilities

  • Maintain the integrity of permanent student records and ensure security of all records.
  • Monitor registration and troubleshoot to ensure funding and billing are correct.
  • Process drop/adds and withdrawals; coordinate graduation activities and credentialing.
  • Supervise and train staff; oversee daily workflow of the Registrar's Office.

Job description

The Registrar is responsible for coordinating and managing curriculum (CU) and continuing education (CE) records and registration processes.

Essential Duties and Responsibilities

include the following. Other duties may be assigned.

  • Responsible for maintaining the integrity of permanent student records and fostering accurate recordkeeping.
  • Ensures security of all records.
  • Monitors registration and troubleshoots to ensure maximum funding.
  • Monitors funding sources for courses and registration to ensure correct billing is in place (sponsored/non-sponsored, CU/CE). Works with Business Office concerning all class and registration fees.
  • Processes drop/adds during registration and withdraws during semester.
  • Process never attend withdraws. Completes memo for Business Office.
  • Ensures proper posting of grades and attendance by faculty. Processes grades changes.
  • Coordinates the de-registration process for non-paying students.
  • Builds classes and process applications and registrations when needed.
  • Evaluates incoming student transcripts for transfer credit and assists with advisement as needed. Follows guidelines established by the accrediting association to ensure proper credit is administered.
  • Serves as the "internal auditor" to ensure students have met co-requisites and pre-requisites during registration.
  • Responsible for monitoring and responding to emails sent to the registration email.
  • Communicates with faculty and staff to ensure accuracy in reporting. Responsible for upholding the policies and procedures in the BCC General Catalog.
  • Verifies student eligibility for graduation, identifies Commencement Marshal candidates, and assists in coordinating the graduation ceremony.
  • Assists with printing and conferring of graduation credentials.
  • Ensures census information is submitted timely and accurately.
  • Assists with beginning and end of term processes.
  • Responsible for publications related to admissions, graduation, recordkeeping, or registration.
  • Assists with updating departmental information on the BCC webpage, creation of registration schedule and other correspondence to students.
  • Works evenings, weekends, and off campus as needed.
  • Attends training as needed to stay abreast of changes and policies.
    • Serves on various College committees and special projects as assigned.
    • Serves as back-up for reports that are the responsibility of the Director for Admission and Records
    • Performs other duties as required.
Supervisory Responsibilities
  • Directly supervises the Assistant Registrar.
  • Interviews and trains new staff in the department.
  • Plans, assigns, directs, and oversees the daily work and workflow of the department.
  • Provides constructive and timely performance evaluations.
  • Addresses complaints and resolves problems.

Education and/or Experience
  • Bachelor's degree; or an Associate's degree in a related field from an accredited institution with three to five years related experience; or equivalent combination of education and experience.
Language Skills

Ability to read, analyse, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of faculty, students, other community or civic groups or visitors to the college. Ability to speak Spanish preferred.

Reasoning Ability

Ability to solve practical problems and deal with a variety of concrete variables in situations.
