Job Overview:
The Registrar is responsible for organizing and managing the registration and renewal process of all clients and volunteer riders, and counseling clients for Equest at the Texas Horse Park. This includes potential client communication, recruitment and processing, as well as scheduling and managing current and returning clients. Additionally, this employee ensures the data entry and updates of client information and files and submission of reports to social service agencies.
Job Responsibilities include:
Client and Volunteer Registration
- Manages all client and volunteer rider registrations, including intake for counseling clients.
- Prepares and updates registration packets for clients.
- Compiles all required client documentation.
- Schedules all new client evaluations.
- Handles referrals from agencies for new clients.
- Oversees Rider and Deb Lewin Scholarship program, recommends and tracks scholarship recipients.
- Processes registration for Instructor Training students.
- Implements client billing for private pay and agency-funded clients.
- Enters all client information into the client database.
- Works closely with the Director of Program Quality & Development to develop class schedule and confirm clients for their assignments
Client Support and Liaison
- Serves as first point of contact for prospective and new clients.
- Conducts client tours.
- Serves as a liaison for riders and their families, working directly with social service agencies in maintaining required attendance forms, program notes, summaries, and evaluations.
- Provides annual reports and coordinates contract renewals.
- Works closely with the Program and Counseling Director, instructors, and physical and occupational therapists on all client intakes.
- Acts as a liaison with the Dallas Police Department, coordinating the registration of DPD students for our semester schedule.
- Responsible for new client orientation and client feedback.
Client and Program Documentation
- Oversees client database, responsible for data input and ensuring complete and updated records.
- Maintains proper client record retention and archiving.
- Develops an annual client survey and evaluation process for client feedback.
Compliance and Standards
- Upholds the vision, mission, and values of Equest as well as an attitude of philanthropy.
- Adheres to all PATH International standards.
- Abides by all regulations, policies, and procedures of the City of Dallas, as they pertain to the Texas Horse Park.
Requirements include:
- Proficiency in Microsoft Office
- Effective Communication Skills both Verbal and Written
- Customer Service Attitude
- Bachelor’s degree preferred
