Qualifications

  • 5-7 years of experience in office support, preferably in a sales/customer service environment.
  • Ability to grasp technical and complex concepts.
  • Prior experience in a financial services environment.

  • Three openings: Two positions will service the Pacific Time Zone and one position will service the Eastern Time Zone**

This position serves as the primary operational and sales support for the MissionSquare Sales teams based on region. This role provides broad support to address client-related matters and client relationship management (CRM) system research, reports, and update. They also provide support with scheduling, meetings and events, invoice processing, and ad-hoc client marketing. Some daily or overnight travel may be required for events such as benefit fairs and internal regional team meetings support and the role is expected to provide support based on different US time zones as required.

Essential Functions For This Role Include

  • Provide operational support such as researching complex items, locating forms and plan documents (contracts, amendments, loan documents), and opening/ escalating cases in CRM system (salesforce) for plan and participant related inquiries
  • Run weekly and monthly CRM system reports and updating system for sales-related fields such as number of eligible employees at plan sponsor, co-providers of recordkeeping services and plan features adopted by a given plan sponsor
  • Monitor workflow processes for fund lineup change requests originating from relationship management and field leadership
  • Submit requests for materials and publications for the team and plan sponsors when requested
  • Coordinate special mailing, mass email communication of new or departing Retirement Plan Specialists
  • Assist with onboarding and orientation of new Retirement Plan/Education Specialists
  • Document team meetings and track deliverables
  • Maintain calendars, schedule and arrange appointments, meetings, business luncheons, travel itinerary and coordinate related arrangements
  • Arrange and coordinate regional staff meetings and special meetings and events
  • Monitor event budgets, review and process bills and purchase authorizations. Assist the team with timesheets and expense report questions (as a proxy for management)
  • Provide administrative support for the territory that includes screening calls and emails when there is a vacancy in the territory
  • Other duties as assigned

If you have the following skills, we encourage you to apply:

  • BA/BS or equivalent experience.
  • 5 - 7 years of experience.
  • Experience in office support, preferably in a sales/customer service environment.
  • Strong organization and customer service skills are required, and the ideal candidate works well with only general supervision.
  • Ability to grasp technical and complex concepts and convey to internal teammates and occasionally for participants and plan sponsors.
  • Basic knowledge of IRS rules and regulations when it comes to Retirement Plans for Public Sector Employees.
  • Proficient in Microsoft Office (Excel, Word, PowerPoint)
  • Excellent communications skills both verbal and written
  • Proven ability to interact with internal and external clients (e.g. employers and employees, vendors and associates) using tact and diplomacy
  • Ability to maintain complete discretion and confidentiality
  • Prior experience in a financial services environment
  • Previous experience with operating systems (OMNI, TRAC, AWD)
  • Previous customer relationship management (CRM) systems knowledge, preferably Salesforce)
