- Proactively manage complex executive and regional calendars and resolve scheduling conflicts
- Serve as the professional gateway for internal and external inquiries, correspondence, and escalations
- Create and organize confidential business records, reports, and presentations according to company policies and compliance standards
- Plan and execute regional meetings, leadership summits, team-building events, and conference calls
- Manage agendas, catering, room setup, digital logistics, and follow-up action items
- Arrange domestic and international travel itineraries, including flights, hotels, and ground transportation
- Anticipate and mitigate travel-related disruptions
- Oversee expense reporting and reconciliation while ensuring policy compliance and deadline adherence
- Use internal dashboards and Excel to compile data, update business reports, and build executive presentations
- Support budget tracking, expense forecasting, and departmental cost monitoring
- Monitor departmental deadlines and track key deliverables
- Serve as a strategic administrative partner to regional business and executive leadership teams from the Plano office
Requirements
- 5+ years of progressive experience as an Administrative Assistant, Executive Assistant, or Office Manager
- Preferably experience within a fast-paced corporate environment
- Retail, apparel, or consumer goods experience is a strong plus
- Expert-level proficiency in Outlook, Excel, Word, PowerPoint, MS Teams, and SharePoint
- Excel skills including data compilation, sorting, and basic formulas
- Comfort learning and navigating proprietary business intelligence dashboards and expense management systems
- Stellar verbal and written communication skills
- Ability to interact confidently with executive-level leaders, vendors, and store teams
- Proven ability to manage competing priorities, maintain close attention to detail, and meet tight deadlines under minimal supervision
