Jobtailor in Plano seeks an experienced Administrative Assistant / Executive Assistant to proactively manage calendars, handle inquiries, and prepare confidential reports according to policy.

You will plan regional meetings, arrange domestic and international travel, oversee expense reporting, and support leadership with data-driven presentations using Excel and BI dashboards.

Qualifications

  • 5+ years of progressive experience as an Administrative Assistant, Executive Assistant, or Office Manager.
  • Preferably experience within a fast-paced corporate environment.
  • Retail, apparel, or consumer goods experience is a strong plus.
  • Expert-level proficiency in Outlook, Excel, Word, PowerPoint, MS Teams, and SharePoint.
  • Excel skills including data compilation, sorting, and basic formulas.
  • Comfort learning and navigating proprietary business intelligence dashboards and expense management systems.
  • Stellar verbal and written communication skills.
  • Ability to interact confidently with executive-level leaders, vendors, and store teams.
  • Proven ability to manage competing priorities, maintain close attention to detail, and meet tight deadlines under minimal supervision.
  • Absolute discretion and professionalism when handling highly sensitive and confidential organizational data.
  • Team-oriented, customer-first mindset with accountability and commitment to continuous learning.

Responsibilities

  • Proactively manage complex executive and regional calendars and resolve scheduling conflicts.
  • Serve as the professional gateway for internal and external inquiries, correspondence, and escalations.
  • Create and organize confidential business records, reports, and presentations according to company policies and compliance standards.
  • Plan and execute regional meetings, leadership summits, team-building events, and conference calls.
  • Manage agendas, catering, room setup, digital logistics, and follow-up action items.
  • Arrange domestic and international travel itineraries, including flights, hotels, and ground transportation.
  • Anticipate and mitigate travel-related disruptions.
  • Oversee expense reporting and reconciliation while ensuring policy compliance and deadline adherence.
  • Use internal dashboards and Excel to compile data, update business reports, and build executive presentations.
  • Support budget tracking, expense forecasting, and departmental cost monitoring.
  • Monitor departmental deadlines and track key deliverables.
  • Serve as a strategic administrative partner to regional business and executive leadership teams from the Plano office.
