Job summary

Midway Mechanical Services is seeking a Regional Accounts Payable Specialist to support our growing operations. You will manage AP for multiple business units and gain exposure to job costing, WIP reporting, and project accounting responsibilities.

This role offers a clear path into a Project Accountant position. The role requires 2–4 years of high-volume AP experience in construction or mechanical contracting, with proficiency in ERP systems and strong Excel skills.

Qualifications

• 2–4 years of high-volume accounts payable experience required.
• Construction, mechanical contracting, and/or job-cost accounting experience is required.
• Experience coding invoices to jobs and cost codes.
• Experience with construction accounting software such as Davisware Vision, QuickBooks, NetSuite, Vista, Foundation, Sage, or similar ERP systems.
• Strong Excel and computer skills.
• Excellent attention to detail and organizational skills.
• Ability to prioritize multiple deadlines in a fast-paced environment.

Responsibilities

• Process high-volume accounts payable invoices for multiple business entities.
• Review and code invoices to the general ledger, jobs, phases, and cost codes.
• Process job-cost labor timecards and maintain project cost records.
• Match invoices to purchase orders and subcontract agreements.
• Maintain vendor and subcontractor relationships and resolve billing discrepancies.
• Verify vendor statements and reconcile balances.
• Assist with weekly cash requirements and payment scheduling.
• Support month-end close activities, AP accruals, and account reconciliations.
• Maintain AP documentation for audits and financial reporting.
• Assist with vendor setup, W-9 collection, 1099 reporting, lien waivers, retainage tracking, and subcontractor compliance.

What You'll Do

• Process high-volume accounts payable invoices for multiple business entities.
• Review and code invoices to the appropriate general ledger accounts, jobs, phases, and cost codes.
• Process job-cost labor timecards and maintain accurate project cost records.
• Match invoices to purchase orders and subcontract agreements.

What We're Looking For

Preferred Qualifications
