Job summary

NYC Department of Finance is seeking a Refunds College Aide to support the Refunds Unit, working under the Deputy Director of Refund Issuance and Administration. You will assist with refunds, vouchers, CRM cases, and data reconciliation in a fast-paced city agency environment.

We welcome matriculated students in finance, accounting, or public administration who can handle multiple tasks and develop SOP documents. NYC residency is preferred; federal loan forgiveness programs may apply.

Qualifications

• Matriculation at an accredited college or graduate school; employment conditioned on continued student status.
• Information Technology track requires a course of study in IT or related field with credits.
• IT Fellowship requires IT-related study and committee appointment for selection.

Responsibilities

• Prepare refund vouchers in the City’s Financial Management System (FMS).
• Processes manual refund cases in BTCS.
• Monitor the account balances of 78 BIDs and assist with disbursement in FMS.
• Handle CRM cases and ensure timely completion.
• Process stop-payment requests and replacement checks.
• Handle chargeback reversals in CityPay reversal tool.
• Complete refunds utilizing PayPoint and Braintree.
• Assist with bank reconciliations.
• Assist with user testing in PTS and BTCS.
• Assist with transfer of payments from property suspense account or process refunds.
• Respond to email/customer service inquiries.
• Help develop SOPs and training materials.
• Provide administrative and operational support.
• Work on special projects and new initiatives.
