Minivasive Pain and Orthopedics is seeking a full-time Referral Intake Coordinator to manage authorizations and schedule new patient consultations. The role involves creating patient charts in Salesforce and eCW, coordinating with referral sources, and maintaining accurate logs and communications with internal teams.

The ideal candidate has HIPAA knowledge, strong communication skills, and experience in a medical office. This position supports a fast-paced clinic environment in the Houston area.

Formación

• High School Diploma or GED required.
• At least 1 year in a medical office setting.
• Knowledge of HIPAA and privacy regulations.
• Proficiency with Salesforce, eCW, and Microsoft Office.
• Strong communication and organizational skills.

Minivasive Pain and Orthopedics is looking for a full-time Referral Intake Coordinator to join the team!

SUMMARY:

The Referral Intake Coordinator is responsible for securing and confirming authorization to schedule initial appointments for new patients. This includes collecting and finalizing referral information, entering data into electronic systems, handling Letters of Protection (LOPs), arranging appointments, and maintaining ongoing communication with referral sources and internal departments regarding patient status and updates.

ESSENTIAL FUNCTIONS:

• Ensure all necessary authorizations are obtained prior to scheduling new patient appointments.
• Collect and track new patient referrals; maintain an up-to-date referral log.
• Create new patient charts in Salesforce and eClinicalWorks (eCW), ensuring complete and accurate demographic and referral data.
• Schedule and reschedule initial consultations as needed.
• Provide patients with timely appointment information and instructions.
• Respond to telephone and email inquiries from patients and referral sources in a timely and professional manner.
• Document and relay messages accurately.
• Perform other related tasks as needed.

KNOWLEDGE, SKILLS, AND ABILITIES:

• Working knowledge of HIPAA regulations, as well as applicable federal and state laws.
• Proficiency with computer systems and relevant software applications (e.g., Salesforce, eCW, Microsoft Office).
• Strong verbal and written communication skills.
• Solid organizational skills and attention to detail.
• Professional customer service and phone etiquette.
• Ability to work in a fast-paced environment and manage multiple tasks.

EDUCATION AND EXPERIENCE:

High School Diploma or GED

• One (1) year in a medical office or facility setting.
