Job summary

Sarnova is seeking a Recruiting Coordinator/Sourcer to support the Talent Acquisition team, coordinating interviews, logistics, and candidate communication across departments and locations. This role helps recruiters move candidates efficiently through the process while maintaining a positive candidate experience.

Responsibilities include scheduling, background checks, offer administration, ATS data integrity, and sourcing efforts to build talent pipelines for current and future openings.

Qualifications

  • High school diploma required; Associate's or Bachelor's degree in Human Resources, Business Administration, Communications, or a related field preferred.
  • 1-3 years of recruiting coordination, human resources, administrative support, customer service, or related experience required
  • Experience scheduling interviews, coordinating meetings, or supporting recruitment activities preferred
  • Experience working with applicant tracking systems (ATS) and HR systems preferred
  • Candidate sourcing experience is a plus
  • Strong organizational and time management skills with the ability to manage multiple priorities
  • Excellent verbal and written communication skills
  • Strong attention to detail and accuracy
  • Ability to maintain confidentiality and handle sensitive information
  • Customer-service mindset with a focus on providing an exceptional candidate experience
  • Proficiency with Microsoft Office applications, including Outlook, Excel, Word, and Teams
  • Ability to build effective working relationships across all levels of the organization
  • Comfortable learning new recruiting technologies and systems

Responsibilities

  • Coordinate interviews between candidates, recruiters, and hiring managers across multiple departments and locations
  • Schedule phone, virtual, and onsite interviews while managing calendar availability and logistics
  • Serve as a primary point of contact for candidates throughout the interview process
  • Ensure a positive candidate experience through timely communication and follow-up
  • Track candidate movement throughout the recruiting process and maintain accurate recruitment records
  • Assist recruiters with requisition management, posting positions, and candidate dispositions in the applicant tracking system
  • Prepare recruitment reports, candidate pipelines, and status updates as requested
  • Initiate and monitor background checks, employment verifications, and pre-employment screening activities
  • Prepare and distribute offer letters and other employment-related documentation
  • Coordinate new hire onboarding activities and ensure completion of required pre-employment requirements
  • Maintain candidate and employee records in compliance with company policies and applicable regulations
  • Assist with onboarding documentation and orientation scheduling
  • Support audit and compliance initiatives by ensuring recruiting files and documentation are complete and accurate
  • Source candidates through online job boards, social media platforms, professional networks, and internal databases
  • Conduct initial resume reviews against established position requirements
  • Build and maintain talent pipelines for frequently recruited positions
  • Identify passive candidates and generate prospective candidate leads for recruiters
  • Support recruitment marketing initiatives and job advertising efforts
  • Attend career fairs, networking events, and recruiting functions as needed
  • Provide administrative support to the recruiting team to improve efficiency and streamline hiring processes
  • Assist with process improvements, recruiting projects, and talent acquisition initiatives
  • Create and maintain recruiting templates, communication materials, and process documentation

Summary

The Recruiting Coordinator/Sourcer provides administrative and recruiting support to the Talent Acquisition team by coordinating hiring activities, managing candidate logistics, and assisting with sourcing efforts. This role serves as a key point of contact throughout the recruitment process, ensuring a positive candidate experience while helping recruiters and hiring managers efficiently move candidates through the hiring process. The Recruiting Coordinator/Sourcer is responsible for interview scheduling, background checks, offer administration, recruiting documentation, and maintaining applicant tracking system data, while also supporting candidate sourcing and talent pipeline development for current and future hiring needs.

Organizational Impact

The Recruiting Coordinator/Sourcer plays a critical role in improving the efficiency and scalability of the Talent Acquisition function by managing recruiting administration and candidate coordination activities. By assuming ownership of scheduling, background checks, offer administration, sourcing support, and other transactional recruiting processes, this role enables recruiters to focus on talent strategy, candidate engagement, and hiring manager partnership. The position directly contributes to reduced time-to-fill, an improved candidate experience, and a more consistent and effective recruitment process across the organization.

Work Schedule

This position follows a hybrid schedule, working onsite Monday through Thursday and remotely on Fridays.
