Job summary

Howard University School of Law Library seeks a Records Coordinator to provide administrative, communications, and logistical support for the Records Office. The role supports the Director and Assistant Director, handling student records requests, grades, graduation certifications, and exam administration.

You will build positive relationships with students, faculty, staff, alumni and external partners, maintain archival records, verify enrollment and grades, and assist with bar certifications

Qualifications

  • Two years of college or business school and one year responsible secretarial experience; or an equivalent combination of three years of combined education and experience.

Responsibilities

  • Greet visitors and direct to appropriate office.
  • Answer calls and route inquiries.
  • Process grades and transfer credits; convert grade components for final GPA calculation.
  • Maintain archival records and files for new and current students.

The incumbent supports the Director and Assistant Director of Records ensuring confidentiality and keeping operations running smoothly by managing student records requests, recordation of official grades, certification of graduates and exam administration processes.**DIMENSIONS:** Indeterminate**NATURE AND SCOPE:**The program coordinator will help build positive relationships with students, faculty, staff, alumni and external partners.**PRINCIPAL ACCOUNTABILITIES:*** Greets visitors and directs them to the appropriate office or answers questions.* Answers phone calls and directs calls to the appropriate office or answers questions.* Works with the Director of Records to process grades received from faculty andtransfer credits and converts a variety of grade components into a format conducive tocalculation of final grades.* Calculates GPAs (each semester) and class rank of students (annually)* Maintains archival records and provides assistance to administrators, faculty, and others;* Maintains student records and creates files for incoming students* Assists with the bar certifications* Verifies enrollment, grades, etc. for former students and graduates* Manually manages enrollment first year and LL.M. students, as well as students enrolled inclinics and externships.* Secures exam ID numbers and distributes the ID numbers to students.* Informs students of registration and graduation due dates and provides assistance tostudents when needed.* Acts as a troubleshooter for problems incurred during registration.* Prepares grade changes and maintains records of the changes.* Provides the Director of Bar Preparation and Academic Support with documentation neededfor first year and second year academic support program participants.* Prepares and assists the Assistant Director with the exam administration process.* Prepares CALI awards list for each semester.* Performs other job-related duties as assigned.
