About The Role:

We have an exciting opportunity for someone to join our team in Dallas as a Receptionist/Operations Assistant. The ideal candidate is a professional, friendly, and detail-oriented team player who will be the first point of contact for clients, visitors, and employees at the office. This role will be focused on managing front desk operations, handling administrative tasks, and providing excellent customer service to both clients and staff. Key responsibilities will include:

  • Demonstrates excellent customer service, communication, and time management skills
  • Greets employees, guests, and visitors in a polite, professional, and welcoming manner
  • Answer and direct phone calls promptly, taking and relaying detailed messages
  • Maintain office security by following procedures and controlling access by managing deliveries, guest visits, and courier services
  • Schedule and coordinate appointments, meetings, and conference room bookings.
  • Assist with meeting setup, including AV needs and troubleshooting.
  • Assist the Operations team with managing Dallas office logistics and inventory.
  • Receiving and distributing all incoming mail, including registered agent mail for clients
  • Handling all outgoing mail, both regular and certified
  • Placing daily lunch orders for staff, and replenishing office snacks
  • Maintain cleanliness and organization of the reception area and common spaces.
  • Providing administrative and clerical support for the operations team and legal staff, as needed
  • Assist with administrative tasks, including data entry, filing, and document preparation

Basic Qualifications:

  • High school diploma or equivalent required
  • Minimum 1 year customer service experience in a professional setting
  • Excellent verbal and written communication skills
  • Proficient in MS Office Suite, Google Suite and other office software and tools
  • Excellent organizational and multitasking skills
  • Ability to handle multiple tasks effectively in a fast-paced environment
  • Friendly, professional demeanor with strong customer service and administrative skills
  • Flexible and adaptable
  • Attention to detail and proven ability to follow standard procedures
  • Customer service and office administrative skills
