Job summary

New Friends New Life is seeking a Receptionist & Intake Coordinator to be the welcoming front face of the organization. This on-site role handles intake for program eligibility, client questions, and coordination with case managers while ensuring a warm, confidential, trauma-informed environment.

The position supports daily office operations, manages calls, schedules, and basic admin tasks, and collaborates with departments and development activities to assist clients effectively.

Qualifications

  • Bachelor’s degree preferred.

  • Mature, friendly, professional demeanor with excellent telephone etiquette.
  • Commitment to confidentiality to protect client privacy.
  • Proficiency with Word, Excel and PowerPoint; fast learner with new tech.
  • Strong teamwork and willingness to assist others when needed.

Responsibilities

  • Exercises discretion and independent judgment with clients and office operations, using a trauma-informed approach.
  • Conducts phone intakes to determine eligibility for programs and services.
  • Schedules new clients for the first appointment with a Case Manager.
  • Provides support and assistance to clients with questions about programs and services.
  • Monitors the office security camera system for controlled entry.
  • Answers incoming calls during business hours and maintains reception coverage.
  • Collects and distributes mail and packages.
  • Orders and maintains all office supplies.
  • Reports building maintenance issues to the landlord and keeps areas tidy.
  • Provides administrative support to all departments as needed.
  • Assists Development with in-kind donations and volunteers.
  • Performs additional duties as assigned by the Chief Programs Officer.

Job description

New Friends New Life restores and empowers trafficked and sexually exploited teen girls, women and their children, and drives awareness of the issue and its prevalence. By providing access to education, job training, interim financial assistance, mental health, and spiritual support, New Friends New Life helps women and their children overcome backgrounds of abuse, addiction, poverty, and limited opportunities.

Receptionist & Intake Coordinator
Position Overview

As the initial point of contact in the New Friends New Life office, the Receptionist & Intake Coordinator is a key player within the agency. This individual is responsible for the front office and serves as the primary face and voice of NFNL to visitors and our clients. This role not only provides a welcoming environment for all who enter the office, it also serves as the intake coordinator for women who may be potential participants in our programs and services. There is daily, heavy, one-on-one interaction between this role and the women we serve.

Work Schedule

Monday-Thursday 9:00am-5:00pm; Fridays 9:00am-3:00pm

All work is done on site - this is not a remote role.

Job Responsibilities
  • Exercises discretion and independent judgment on matters of significance involving clients and office operations, requiring a high degree of decision making and problem solving skills, using a trauma-informed approach in all interactions.
  • Conducts phone intakes with potential clients which are used to determine eligibility for our programs and services based on their history and life circumstances.
  • Schedules new clients for the first appointment with a Case Manager.
  • Provides support and assistance to clients with questions and concerns about our programs and services.
  • Monitors the office security camera system to manage secure door entry for clients and guests.
  • Answers all incoming calls during business operating hours, and ensures adequate coverage of phones and reception area at all times.
  • Collects and distributes mail and packages.
  • Orders and maintains all office supplies.
  • Reports all building maintenance issues to landlord for repair, and keeps the front office, workroom and kitchen tidy and organized.
  • Provides various types of administrative support to all departments and teams, as requested.
  • Assists the Development team with in-kind donation drop-offs, volunteerism, and more, as needed.
  • Performs additional duties as assigned by the Chief Programs Officer.
Required Job Qualifications, Education, Skills:
  • Bachelor’s degree preferred.
  • Exceptional interpersonal skills and a strong commitment to customer service with a warm, welcoming and nonjudgmental demeanor.
  • High degree of maturity, a friendly and professional demeanor and excellent telephone etiquette.
  • High degree of integrity and discretion required and the ability to maintain confidentiality to protect the privacy of our clients.
  • Intermediate skill level with Microsoft Word, Excel and PowerPoint and the ability to learn new technology quickly.
  • Excellent team player with an eagerness to assist others whenever the need arises.
