Job Responsibilities
Client Interaction & Assistance
- Greet clients professionally and warmly in person and over the phone
- Provide technological support to clients with document portals for uploading and accessing tax documents
- Answer the main office line for inquiries, screen, and direct clients appropriately
- Keep the conference room tidy and ready for meetings
Document Management
- Download, scan, organize, and securely store client tax documents
- Maintain confidentiality of all client records
Engagement Management
- Draft and send engagement letters
- Onboard new clients and create task workflows for staff
Database Management
- Maintain and update client databases, ensuring data accuracy and confidentiality
Office & Inventory Management
- Monitor and replenish office supplies and inventory
- Coordinate with vendors as needed
Administrative Support
- Schedule and confirm appointments and meetings
- Manage mail and shipping logistics
- Assist with clerical duties, including assembling tax returns and contacting clients
Additional Details
- Full-time, on-site in Parsippany, NJ
- Hours: 9:00 am - 5:00 pm, with flexibility for extended hours during peak seasons
- Salary: Negotiable based on experience
Required Qualifications
- High School diploma or equivalent
- At least 1 year of office experience
- Customer service experience
- Proficiency in Microsoft Office, especially Excel
- Proficiency in Adobe Creative Cloud (PDF editing)
- Excellent communication, organizational, and analytical skills
- Professional demeanor
- Ability to handle a demanding environment
Preferred Qualifications
- Experience in a CPA firm supporting tax, audit, or accounting departments
- Knowledge of financial terminology
- Experience with A/R and A/P
- Associate or Bachelor’s Degree
