Job Title: Administrative Support Specialist

Under general supervision, performs complex administrative support on day-to-day operational matters in an operations, corporate services, or sales area. Interacts with and resolves issues which may be sensitive and confidential in nature. Collaborates with others, acting as a liaison between management and other business units.

Essential Duties & Responsibilities:

  1. Assists management in coordinating organizational administration activities, including performance reviews, cost center updates, and customer issues. Resolves problems independently and proactively within scope of authority.
  2. Drafts, prepares, and distributes correspondence, memos, reports, requiring the use of office technologies and software applications.
  3. Collaborates with internal and external contacts regarding business unit administration issues and concerns.
  4. Schedules and coordinates meetings, conferences, travel arrangements, and maintains business calendars.
  5. Prepares, processes, and may submit reports, including timekeeping and payroll processes. May train staff or management on administrative procedures.
  6. May lead, mentor, and train other staff members.
  7. Establishes and maintains official documents and records.
  8. Assists management in special projects and attends meetings or seminars to record notes or provide information.
  9. Provides backup support to other Administrative Assistants and assistance to other functional areas as needed.

Reporting Relationship: Typically reports to a Supervisor or above.

Skills, Knowledge, and Abilities:

  • Excellent written and verbal communication skills, including professional phone etiquette.
  • Strong interpersonal skills for effective interaction with internal and external partners at all levels.
  • Proficiency in Microsoft Office suite and other business software systems.
  • Excellent organizational skills with the ability to prioritize and manage multiple tasks.
  • General knowledge of the insurance industry and related business units.

Education and Experience:

  • Some college coursework in Marketing, Business, Accounting, etc., is desirable.
  • Minimum of four years of strong administrative experience.

In certain jurisdictions, CNA is required to include a reasonable estimate of compensation for this role. In District of Columbia, California, Colorado, Connecticut, Illinois, Maryland, Massachusetts, New York, and Washington, the base pay range is $35,000 to $65,000 annually.
