Responsibilities

  • Reception/Front Desk: Serve as the first point of contact for clients and visitors, providing a welcoming and professional presence.
  • Conference Room Management: Organize and maintain conference rooms, ensuring they are ready for meetings and events.
  • Receive and distribute incoming mail, manage postage and outgoing shipments, and ensure items are processed and routed appropriately.
  • Client Engagement: Engage with clients in a friendly and professional manner, both in person and over the phone.
  • Office Supplies Management: Keep the office stocked with critical materials, from pens to plotter paper.
  • Project Setup: Set up projects in various systems from a project intake form.
  • Administrative Support: Assist with word processing, project filing, and spreadsheet tasks.
  • Communication: Communicate with project teams and clients via various channels.
  • General Support: Perform additional administrative tasks as needed.

What You’ll Do

Who You Are
  • Experience: Proficient with Microsoft Office Suite and office equipment (photocopies, scanning, etc.).
  • Skills: Excellent written and verbal communication skills. Strong organizational skills with close attention to detail.
  • Attributes: Self‑motivated and proactive. Must have a valid driver’s license.
  • Demonstrate a genuinely friendly, service‑oriented approach with strong communication skills, professionalism, and a proactive mindset.
Nice to Have
  • Experience in a similar administrative or project coordination role in the engineering and construction industry is a huge plus.
  • Notary Public certification/commission is a plus; ability to obtain within 90 days of hire is preferred.
