Job summary

Qualifications

Position Summary

Reporting to the Operations Coordinator, the Receptionist is responsible for providing a professional and welcoming experience for guests, visitors, callers, and staff while supporting the smooth day-to-day operations of our Miami headquarters.

This is a full-time, non-exempt, 100% in-office position responsible for front desk coverage, incoming calls, visitor management, mail and deliveries, general administrative support, and assistance with meetings and events.

Position Responsibilities
  • Serve as the first point of contact at the front desk, greeting guests, visitors, and staff in a professional, friendly, and welcoming manner.
  • Answer, screen, and route incoming phone calls and ensure messages are communicated accurately and promptly.
  • Receive, sort, and distribute incoming mail, packages, and deliveries and prepare outgoing mail and packages.
  • Maintain a clean, organized, and presentable front desk and lobby area.
  • Manage visitor check-in and check-out procedures and maintain visitor logs in accordance with office policies.
  • Provide general administrative support, including data entry, filing, copying, scanning, and document preparation.
  • Assist with meeting and event setup and breakdown, including arranging furniture, signage, materials, and other event needs.
  • Support the Operations Team with day-to-day office needs, including ordering supplies and monitoring shared office equipment.
  • Notify appropriate staff of scheduled visitors, deliveries, and building or facility issues.
  • Maintain confidentiality and exercise discretion when handling sensitive organizational, employee, and visitor information.
  • Perform other front-office and administrative responsibilities as assigned by the Operations Team.
Qualifications
  • High school diploma or equivalent required.
  • Previous experience in a receptionist, front desk, customer service, or similar role preferred.
  • Strong verbal and written communication skills with a professional and friendly demeanor.
  • Excellent organizational skills and the ability to manage multiple tasks in a fast-paced environment.
  • Proficiency in Microsoft Office, including Word, Outlook, and Excel, as well as standard office equipment.
  • Bilingual English/Spanish skills preferred.
  • Reliable and punctual, with the ability to be physically present in the office during all scheduled hours.

Work Environment & Schedule

This is a 100% in-office position based at BBBS of Miami's headquarters: 550 NW 42nd Avenue, Miami, FL 33126. The role requires regular and predictable front desk coverage during scheduled working hours. Travel is expected to account for less than 5% of total work time. There is occasional weekend/evening work for events.

Because this position also assists with office and event needs, candidates must be able to move throughout the office and building, operate standard office equipment, and lift or move office and event supplies weighing up to 25 pounds.
