Qualifications

  • High school diploma or equivalent required.
  • Minimum of one (1) year of receptionist, clerical, or administrative experience required.
  • Previous experience in a healthcare, rehabilitation, or long-term care setting preferred.
  • Proficiency with Microsoft Office (Word, Excel, Outlook).
  • Excellent communication, organizational, and multitasking skills.
  • Professional appearance with a positive, customer-service-oriented attitude.
  • Ability to read, write, speak, and understand English.

Responsibilities

  • Greet residents, families, visitors, vendors, and staff in a courteous and professional manner.
  • Answer, screen, and direct incoming telephone calls promptly and efficiently.
  • Manage visitor sign-in/sign-out procedures and issue visitor badges as needed.
  • Provide general information and assistance to residents, guests, and staff.
  • Operate a multi-line telephone system, paging system, voicemail, and call transfers.
  • Assist department managers with clerical and administrative duties.
  • Perform filing, typing, scanning, copying, and data entry.
  • Maintain resident directories, office records, and contact information.
  • Support payroll and Business Office functions as assigned.
  • Receive, sort, and distribute incoming mail and packages.
  • Track administrative deadlines, renewals, and other office activities.
  • Order and maintain office supplies following purchasing procedures.
  • Operate standard office equipment, including copiers, printers, scanners, and fax machines.
  • Maintain confidentiality of resident and facility information in accordance with HIPAA regulations.
