Job summary

Responsibilities

  • Call Junior Administrative Assistant by 7:00 a.m. if unable to report to work.
  • Maintain records of clinic charges, revenue, and expenses, reporting them daily to the billing area of the clinic.
  • Process check requests to pay all bills in a timely fashion, including payroll.
  • Maintain communication with medical staff and clinic director.
  • Greet and register patients as they enter the clinic.
  • Answer telephones, make appointments, and route other calls, documenting all messages.
  • Assemble an accurate and complete medical chart for new patients and update charts of established patients; ensure all necessary information is included in the chart.
  • Obtain copies of insurance cards, driver’s licenses, etc.
  • Secure signatures of consent for treatment, insurance, and HIPAA.
  • Pull and re-file medical charts as needed; copy and mail any records requested.
  • Maintain area and equipment; make copies of forms as needed.
  • Perform miscellaneous office duties, including filing and copying.
  • Collect in‑office and credit‑card payments; provide receipts.
  • Enter patient information and financial transactions in billing and reports.
  • Balance daily transactions and prepare superbills and money for the billing department.
  • Keep the lobby and reception area neat and orderly.
  • Perform any other duties as needed.
