We are seeking a warm, organized, and detail-oriented Receptionist / Front Office Coordinator to join our dynamic team. The ideal candidate will have excellent communication skills, a passion for helping others, and the ability to thrive in a fast-paced, multi-provider healthcare environment. This role is critical to the patient experience—from the first call to checking out after treatment. Preference will be given to candidates with experience in a medical, chiropractic, or physical therapy office.

- The front office runs smoothly, with accurate billing, proper paperwork, and clear communication between providers and patients.
OBJECTIVES
- Greet patients warmly, creating a welcoming and professional first impression of the clinic.
- Answer phones promptly and professionally, triage calls, schedule appointments, and follow up on missed appointments.
- Maintain accurate patient records, collect necessary forms, and verify insurance coverage when needed.
- Check patients in and out, process payments, and explain treatment plans and payment options in coordination with providers.
- Support the clinic in maintaining a high appointment show rate and strong patient satisfaction through effective communication and scheduling.
- Coordinate follow-up care and assist patients in staying on track with their recommended treatment plans.
- Manage day-to-day administrative tasks including emails, faxing, scanning, and organizing supplies.
- Collaborate with clinical staff to support smooth patient flow and communication across departments.
- Accurately reporting and recording of financial information.
- Ensure the statistics and KPIs are updated and reported daily.

- Ability to maintain confidentiality and follow HIPAA regulations
- Strong organizational and time management skills
- Knowledge of Microsoft Office products and Google products.
- Able to type +50 wpm (a plus)
- Comfort working with diverse patients and practitioners in an integrative setting
EDUCATION AND EXPERIENCE
- High school diploma or equivalent (required)
- 1+ years of experience in a healthcare, chiropractic, physical therapy, or wellness office (preferred)
- Familiarity with EMR systems and Microsoft Office (preferred)
- Bilingual abilities (Spanish) are a plus but not required
- CPR certification (preferred or willing to obtain)
PHYSICAL REQUIREMENTS
- Ability to sit, stand, and walk for extended periods
- Ability to bend, reach, and lift up to 25 pounds occasionally (e.g., supplies, files)
- Adequate hearing and visual acuity to interact with patients and operate office equipment
- Manual dexterity for using computer systems, phones, and other office tools
- Ability to multitask and maintain focus in a high-traffic environment
