Seeking a professional and organized Receptionist to support day-to-day office operations for a leading pharmaceutical company. This is an onsite opportunity in Boston’s Seaport District, Monday–Friday from 11:00 AM–7:00 PM. The ideal candidate will have strong communication and interpersonal skills, a professional presence, and the ability to support a variety of administrative, facilities, and event-related activities.
Key Responsibilities
- Greet and direct visitors while managing front desk communications professionally.
- Handle phone calls, emails, correspondence, and confidential information.
- Provide administrative support to the office management team.
- Manage schedules, distribution lists, documents, reports, and presentations.
- Support Executive Assistants with coverage and administrative needs when required.
- Assist with onsite events, including catering orders, setup, breakdown, and event equipment inventory.
- Coordinate with building management and vendors for maintenance, repairs, services, and utilities.
- Support office services including security, mail, packages, cleaning, catering, recycling, and waste disposal.
- Maintain office and kitchen supply inventory and place orders as needed.
- Assist with visitor onboarding and office/facilities induction.
- Support supplier management, purchasing, and procurement activities.
- Assist with workplace health and safety requirements and emergency procedures.
- Provide additional administrative and office support as needed.
Required Skills
- Bachelor’s degree or equivalent experience preferred.
- 0–2 years of administrative, receptionist, or related experience.
- Proficiency with Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
- Strong interpersonal and customer service skills with the ability to interact with individuals at all levels.
- Excellent written and verbal communication skills.
- Professional, organized, and detail-oriented approach.
- Awareness of workplace health and safety practices.
- Ability to work onsite Monday–Friday, 7:00 AM–3:00 PM in Boston’s Seaport District.
