Job summary

United Surgical Partners International is seeking a Front Office Receptionist to greet patients, route calls, verify insurance, and assist with scheduling and registration. This cross‑functional role spans Front Desk, Scheduling and Receptionist duties.

The ideal candidate has a high school diploma or GED, 2 years in a medical office, knowledge of revenue cycle processes, and strong organizational and communication skills. HIPAA compliance and accurate data entry are essential.

  • Knowledge of revenue cycle processes including health insurance billing, collections and cash posting.
  • Familiarity with various health insurance programs including governmental and non-governmental.
  • Excellent organizational and time management skills.
  • Prefer knowledge of medical terminology.

Responsibilities

  • Receives patients and visitors and assists with scheduling and registration.
  • Verifies patient demographics and insurance information.
  • Coordinates and schedules appointments and referrals.
  • Registers patients and ensures demographic data is current.
  • Ensures documents are received and recorded in the patient’s chart, including orders and consent forms.
  • Maintains patient charts and ensures confidentiality per HIPAA.
  • Answers non-medical questions and provides routine non-medical instructions.
  • Enters patient demographics, including insurance information, into the system.
  • Collects copayments and communicates patient financial responsibilities.
  • Performs reminder calls prior to procedures.
  • May accompany patients for center navigation to maintain smooth operations.
  • Understands and adheres to HIPAA policies and procedures.

Job Details

Under the day to day general direction of the Manager, the Front Office Receptionist handles and routes all incoming calls and greets patients and patient families. Additionally, the Receptionist is responsible for insurance verification as needed, cash collections and the correct handling of patient charts. This is a cross‑functional position which includes Front Desk, Scheduling and Receptionist duties.

ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Receives patients and visitors and provides assistance in scheduling appointments, patient registration, medical chart maintenance and the coordination of patient referrals.
  • Greets patients and visitors in a courteous and professional manner and verifies patient contact and insurance information on file.
  • Coordinates and schedules appointments.
  • Registers the patients, while ensuring that all demographic information is current.
  • Ensures that required documents are received and documented in the patient’s record, such as Physician orders, result of patient history and physical exams, advance directives, patient bill of rights and notice of ownership disclosure.
  • Creates, files and retrieves patient charts as needed, ensuring proper security measures are followed to maintain confidentiality of all patient information.
  • Answers non-medical questions and gives routine non-medical instructions.
  • Enter demographics of new patients, including insurance information, into the applicable system.
  • Ensures appropriate patient signatures are secured for the informed consents prior to service being rendered.
  • Ensures that referrals are available and, if required, coordinates the exchange of patient data with referral sources.
  • Answers incoming telephone calls, handling calls if applicable and otherwise routing calls to the appropriate party or taking messages.
  • Collects, verifies and enters the applicable system, all insurance and third-party resources for payment.
  • May coordinate insurance verification with insurance companies through online eligibility verification system on a case-by-case basis.
  • Communicates with patient regarding patient’s financial responsibility and collects money such as copayments for the procedures.
  • Conducts reminder calls prior to procedures.
  • May escort patients throughout the Center to ensure proper office flow.
  • Understands and abides by all HIPAA policies and procedures.
  • Maintains inventory of office supplies.
  • Performs other duties as requested or assigned. This role excludes performing any clinical tasks related to patient, to include assessment or evaluation of patient’s medical condition or providing clinical advice or medical care or recommendations.
  • Demonstrated knowledge of potential exposure to hazardous materials (i.e., patient body fluids, disinfectant chemicals) and location of SDS sheets.
  • Participates in QAPI and Safety Program.
Required Skills
  • High school diploma or general education degree (GED).
  • Prefer minimum of 2 years of experience in a medical office or healthcare business office operations; or equivalent combination of education and experience.
  • Rounded revenue cycle process knowledge (health insurance billing, collection and cash posting functions).
  • Prefer knowledge of various health insurance programs including Governmental and Non-Governmental insurance.
  • Excellent organizational and time management skills.
  • Prefer knowledge of medical terminology.
