Base pay range

$17.00/hr - $20.00/hr

The duties and responsibilities of the Administrative Assistant (“AA”) are important to the overall efficient and successful operation of the enterprise. The AA is expected to perform the duties and responsibilities of the position in full understanding and appreciation of expectations of buyers, sellers, brokers, attorneys, and agents engaged in the luxury Real Estate Brokerage market of New York. The AA is expected to professionally handle confidential and time sensitive material and effectively communicate via phone and email, with accuracy and delivered with high quality and in a timely manner. The AA is expected to plan and accomplish goals in a methodical manner and is expected to be creative and forward-thinking in completing assignments.

Essential Tasks and Responsibilities

  • Answer, screen and record inbound phone calls
  • Receive prospective clients and generate digital contact entries
  • General clerical duties including photocopying, fax and mailing
  • Maintaining electronic and hard copy filing system, retrieving and storing as needed
  • Learn and utilize the Compass platforms to upload and maintain listings, and to maximize the utilization of those Compass platforms in the best interests of the company
  • Open, sort and digitize incoming correspondence; prepare agendas for meetings and prepare schedules; record, compile, transcribe and distribute minutes of meetings
  • Prepare and modify documents including correspondence, written reports, work summary memos, drafts and final memos, emails and other documents
  • Handle requests for information and data, as appropriate; and schedule and coordinate meetings, appointments and travel arrangements
  • Maintain office supply inventories, and coordinate maintenance of office equipment
  • Coordinate and maintain records for bookkeeping and financial record-keeping

Requirements

  • Experience in Real Estate a plus
  • Work experience as an Executive Assistant, Personal Assistant or similar role
  • Excellent knowledge of Gmail, Google Calendars and Google Drive
  • Excellent technology skills with the ability to learn new systems quickly
  • Outstanding organizational and time management skills

Additional Responsibilities

  • The AA is responsible for monitoring and recording expenditures.
  • The AA is responsible for planning and executing assignments in a manner to ensure that data and information required or desired by GH, LLC is delivered on or before established deadlines.
  • The AA is also responsible for assisting in the planning and scheduling of activities, conference calls, Zoom meetings and other communications activities to promote the business interests of the company.
  • The AA is responsible for documenting the activities of the company; including the storing, organizing and managing files; typing, editing and proofreading documents; and digitizing all hard copy documents received.
  • The AA is also responsible for creating a filing system for digital and hardcopy documents.
  • The AA is responsible for assisting in the development of a plan to utilize social media platforms to promote the best interests of the company.
  • Once that plan is developed, the AA is responsible for regular postings to those social media platforms to keep the information on those platforms fresh and relevant.
  • The AA will manage social media and email campaigns; improve Search Engine Optimization (SEO); and manage media appearances and coordinate live virtual events.
  • The AA is responsible for assisting in identifying and creating a database of potential customers; recognizing that those Sales prospects are the company’s greatest asset and a future revenue stream.
  • The AA is responsible for using the company’s designated customer relationship management (CRM) database to track those best potential customers or prospects and communications with them.
