Job summary

Colonial Group in Kentucky seeks a detail-oriented documentation coordinator to support import entry processing, audits, and data accuracy. You will review origin documents, resolve data gaps, and assist the team with process improvements while maintaining strong client service standards.

The role involves ensuring compliance with regulatory requirements and collaborating with the operations team; travel to other offices may be required.

Qualifications

  • High school diploma or equivalent required.
  • Minimum 2 years of US Customs brokerage experience.
  • Minimum 1 year of quality control experience.
  • Basic knowledge of HTS classification.
  • Intermediate MS Office knowledge.
  • Strong verbal and written communication skills.

Responsibilities

  • Provide highest level of customer service to clients, vendors, and service providers for import documentation.
  • Review Certificates of Origin and other documents for eligibility to Free Trade programs.
  • Analyze and update PGA records in entries and database per PGA reporting requirements.
  • Audit files to ensure accuracy and adherence to instructions.
  • Collaborate with operations to maintain client database.
  • Assist team leader in training team members as assigned.
  • Serve clients and report issues to Team Leader/Supervisor.
  • Ensure shipments are entered in accordance with US CFRs.

What you’ll be doing

This position is responsible for coordinate and audit documentation on entries, as assigned. This position will be assisting and maintaining the quality and accuracy of import entries. Furthermore, the position handles requests for missing information and ensures that all data is accurate.

You will be responsible for
  • Provide the highest level of customer service to clients, vendors, and service providers in acquiring the proper import documentation.
  • Review Certificates of Origin and other documentation to confirm eligibility to Free Trade programs.
  • Analyze and update PGA records in entries and database with knowledge of PGA reporting requirements.
  • Audit assigned files to ensure accuracy and instructions are followed.
  • Work with operations department in maintaining of client database.
  • Assist team leader in training of team members as assigned.
  • Service clients and reporting of any issues to Team Leader/Supervisor.
  • Ensures all shipments are entered in accordance with the US Federal Code of Regulations.
  • Support as required in all Departmental Operations.
  • Other responsibilities as assigned.
What we need from you
  • High school diploma or equivalent.
  • Minimum 2 years of experience in US Customs brokerage.
  • Minimum 1 year of experience in quality control.
  • Basic knowledge of HTS classification.
  • Intermediate MS Office knowledge.
  • Strong verbal and written communication skills.
  • Must be legally eligible to work for the Company at all times.
  • Valid Passport and ability and desire to occasionally travel if required to other offices locations in CAD/USA/MX.
