Position Overview
- Type and distribute correspondence, reports, forms, etc.
- Compile information on a monthly or as needed basis and facilitate monthly calendar.
- Process purchase request, and order/distribute office supplies for staff.
- Maintain administrative files, program files, and personnel files accurately.
- Assist in preparing program reports and providing program data with accuracy and in a timely manner.
- Assist with preparing grant proposals and other program documents with accuracy.
- Assess and convey program problems and refer appropriately to obtain needed solutions.
- Perform secretarial duties and provide routine administration support to the management staff in CCMS program.
- Support facilities in achieving 4-Star or National Accreditation status through professional development and modeling best practices.
- Develop instructional materials and deliver training sessions.
- Recruit Entry-Level training to providers and provide on-site training to attain TRS status.
- Participate in community events as required.
- Assist in ordering materials and resources and checking in materials through the Quality Initiatives.
- Submit monthly reports.
- Perform other related duties as assigned.
- High School Diploma or equivalent.
- Minimum of 2 years' experience in general secretarial or administrative duties.
- Type 50-60 WPM.
- Computer proficiency and in Microsoft programs.
- Excellent verbal and written communication skills required.
- Attention to detail, organization skills and ability to perform accurately in high stress situations.
- Demonstrate professional and courteous interaction with all levels of staff.
- Be knowledgeable of office equipment and procedures.
- Must pass pre-employment and/or periodic physical exam, TB skin test, and background check (renewed every 24 months).
Physical Requirements
- Repetitive use of hands; reaching and turning.
- Ability to lift up to 20 pounds; light lifting of supplies and materials.
- Specific vision abilities required by this job include close vision, distance vision and the ability to adjust focus.
- Must be able to twist, turn, kneel, bend and stoop.
