Job summary

A leading mechanical contracting firm is seeking a Purchasing Coordinator to manage procurement operations for commercial and industrial construction projects. The ideal candidate will have over 3 years of experience in purchasing within the mechanical construction field and must be detail-oriented and organized. Responsibilities include processing purchase orders, managing vendor relations, and ensuring timely delivery of materials. Qualifications

  • 3+ years of purchasing experience in mechanical construction, HVAC, plumbing, or related industry.
  • Strong knowledge of mechanical materials such as pipe, fittings, valves, and ductwork.
  • Experience with construction ERP systems.
  • Proficient in Microsoft Excel and Office Suite.

Responsibilities

  • Process purchase orders for materials and equipment for HVAC and plumbing.
  • Coordinate with Project Managers to confirm material requirements.
  • Track and maintain purchase logs and material status reports.
  • Resolve invoice discrepancies in coordination with Accounting.

Job description

Gallo Mechanicalis seeking a detail-oriented and highly organizedPurchasing Coordinatorto support procurement operations for commercial and industrial mechanical construction projects. This role is responsible for managing material and equipment purchases, coordinating with vendors and project teams, and ensuring timely delivery to support field operations and fabrication.

The ideal candidate thrives in a fast-paced construction environment and understands the urgency, accuracy, and coordination required to keep projects on schedule and within budget.

Key Responsibilities
  • Process purchase orders for HVAC, plumbing, piping, and sheet metal materials and equipment
  • Solicit and compare vendor quotes to ensure competitive pricing and quality standards
  • Coordinate closely with Project Managers, Estimators, Fabrication, and Field Supervisors to confirm material requirements and delivery timelines
  • Track and maintain purchase logs, backorders, and material status reports
  • Ensure accurate cost coding and job cost allocation within ERP/accounting systems
  • Communicate with vendors regarding lead times, shipment updates, and discrepancies
  • Resolve invoice discrepancies in coordination with Accounting
  • Support bulk purchasing strategies and preferred vendor relationships
  • Assist in maintaining vendor database and qualification documentation
  • Ensure compliance with company procurement policies and contract requirements
Qualifications
  • 3+ years of purchasing experience in mechanical construction, HVAC, plumbing, or related construction industry
  • Strong knowledge of mechanical materials (pipe, fittings, valves, ductwork, equipment, etc.)
  • Experience with construction ERP systems (e.g., Viewpoint, Sage, Procore, or similar)
  • Proficient in Microsoft Excel and Microsoft Office Suite
  • Strong organizational skills and attention to detail
  • Ability to manage multiple projects and deadlines simultaneously
  • Effective communication skills with vendors and internal teams
Preferred Qualifications
  • Experience supporting fabrication shops or prefabrication operations
  • Familiarity with multi-state procurement
  • Understanding of buyout processes and project cost controls
  • Office-based with regular coordination with warehouse and fabrication facilities
  • Occasional jobsite visits as needed
