Job summary

AVMAC LLC in Chesapeake, VA is seeking a Junior Buyer to support the procurement team by assisting in purchasing, supplier relationships, and supporting the Purchasing Agent and Senior Buyer.

This temporary full-time role offers potential to move to permanent employment. You will assist with RFQs, monitor shipments, reconcile invoices, maintain FAR-compliant records, and help track expenses and purchasing reports to ensure timely and accurate procurement operations.

Qualifications

• A minimum of 5 years of experience in purchasing and administrative duties.
• Knowledge of the Federal Acquisition Regulations (FAR).
• Experience with ABS Nautical System Enterprise (NSE), Costpoint/Deltek and ADP software is a plus.

Responsibilities

• Assist in purchasing RFQs and procurement actions in support of MARAD RRF program.
• Collaborate with Purchasing Manager and Procurement team to guarantee cost-effective purchasing that is FAR-compliant.
• Monitors shipments to ensure items arrive on time and follow up on undelivered items.
• Maintain receiving documentation in accordance with FAR requirements.
• Reconcile invoices from vendors and coordinate with accounting for payments.
• Assist in review of team expenses for compliance with travel policies.
• Track timeliness and delinquency of expenses.
• Assist travel and expense report questions.
• Coordinate timely submission of travel requests and ensure travel arrangements are made for the team.
• Maintain and update purchasing reports, including the Weekly Purchasing Report and SDSR Report; research discrepancies and escalate issues.

Position Summary:

Seeking a Junior Buyer to support the procurement team by assisting in purchasing, supplier relationships, and supporting the Purchasing Agent and Senior Buyer.

This position is a temporary position with full-time hours, possible opportunity to move to permanent full time.

Essential Duties and Responsibilities:

• Assists in purchasing RFQs and procurement actions in support of MARAD RRF program. Establish and maintain working relationships with vendors, suppliers, and team.
• Collaborate with Purchasing Manager and Procurement team to guarantee cost-effective purchasing that is compliant with Federal Acquisition Regulations (FAR).
• Monitors shipments to ensure that items come in on time, and in the event of problems, track shipments and follow-up on undelivered items.
• Maintain receiving documentation in accordance with FAR requirements.
• Reconcile invoices from vendors and coordinate with accounting for invoice payments.
• Assist in the review of team expenses for compliance with travel policies.
• Track timeliness and delinquency of expenses not submitted by the team.
• Assist in any travel and expense report questions.
• Coordinate timely submission of travel requests and ensure travel arrangements are made for the team.
• Maintain and update assigned purchasing reports, including the recurring Weekly Purchasing Report and SDSR Report. Research and correct routine discrepancies, maintain accurate supporting documentation, and elevate material, recurring, compliance-related, or audit-significant issues to the Purchasing Agent and Purchasing Manager.

Qualifications, Knowledge and Skills Required:

• A minimum of 5 years of experience in purchasing and administrative duties.
• Computer proficiency in MS Office business applications, with intermediate-level ability in MS EXCEL.
• Knowledge of the Federal Acquisition Regulations (FAR).
• Knowledge of ABS Nautical System Enterprise (NSE), Costpoint/Deltek and ADP software is a plus.

Physical and Environmental Requirements:

• Work may require frequent bending, reaching and climbing.
• May frequently lift and carry items weighing up to fifty pounds and occasionally lift heavier items with the assistance of other workers.
• Work may be performed on top or under equipment in cramped or awkward positions.
