Job summary

Heart Rhythm Society in Washington, DC is seeking a Publications Associate to support the review process of manuscripts, perform light editing of letters of disposition, and maintain timely publication. You will communicate with authors, readers, and reviewers to uphold quality and speed of review and publication.

The role includes assisting with editorial meetings, content management of online journal pages, and coordinating with Journal/Publications staff on meetings using Zoom or video calls.

Qualifications

  • Bachelor's degree or higher in journalism, communications, or a related field.
  • Experience editing manuscripts or academic content.
  • Strong written and verbal communication skills.
  • Ability to manage multiple manuscripts and meet deadlines.
  • Familiarity with journal publication processes is a plus.

Responsibilities

  • Assist with editorial workflow of manuscript submissions.
  • Performs initial quality checks and follows up with authors and editors regarding overdue tasks.
  • Assists authors with uploading manuscripts and responds to inquiries regarding manuscripts undergoing review.
  • Handles incoming/outgoing correspondence relating to manuscript review and ensures signed conflict of interest forms are received.
  • Assists with handling special projects, unique manuscript types, and special reports.
  • Handles light content management of online journal web pages and some social networking.
  • Assists with editorial meetings and editorial board meetings.

Position Summary

Under the direction of the AVP HRS Publications, Sr. Managing Editor, of the Heart Rhythm Society Journals, the Publications Associate assists with the review process of manuscripts, including light editing of letters of disposition, proofreading correspondence, corresponding with authors, readers, and reviewers, maintaining quality of journal content and speed of review process and time-to- publication, and other special projects.

Responsibilities
  • Assist with Editorial Workflow of Manuscript Submissions
  • Performs initial quality check per checklist and follows up by e-mail or telephone with authors, Associate Editors, and reviewers regarding overdue tasks or assignments
  • Assists authors with uploading manuscripts if requested and assists with responding to queries from authors seeking information regarding manuscripts undergoing review
  • Handles incoming and outgoing correspondence relating to manuscript reviewEnsures that signed conflict of interest forms are received for all submissions
  • Assists with handling special projects, unique manuscript types, and special reports
Online Content Management

Handles light content management of online journal web pages, and some social networking

Assists with Editorial Meetings and Editorial Board Meetings
  • Assists Journal/Publications Staff with preparations, with Zoom/conference calls, Video Interviews, and other Editors’ meetings.
  • Other duties as assigned
