Job summary

AbbVie seeks a Senior Specialist, Publication Operations to provide operational support to the Global Scientific Publications (GSP) team. You will manage vendor contracts, budgeting, and data for monthly forecasts, ensuring accuracy and timely processing.

You will coordinate publication workflows, calendars, QR codes for posters, and ensure compliance while collaborating with Outsourcing, GMO, Finance, and other stakeholders to meet tight deadlines.

Qualifications

• BA/BS required; preferred focus in Science, Healthcare, Business, or Project Management.
• At least 2 years of experience in data entry, clerical, document specialist, or reconciliation roles.
• Prefer 4+ years in Project/Process Management, Publications Management, Medical/technical writing, Datavision software, or Compliance.
• Must be process oriented with ability to manage multiple projects and deadlines.
• Highly detail-oriented with strong organizational and communication skills.
• Proficient in Microsoft Office suite, SharePoint/database tools and online resources.

Responsibilities

• Provide end-to-end vendor management for GSP, including billing and contract tracking.
• Maintain and train vendors, ensure timely billing timelines and documentation.
• Perform invoice analysis and budget reconciliation across GSP.
• Generate data reports and KPIs from multiple sources; support financial and budget tracking.
• Create yearly congress calendars and trackers; manage QR codes for scientific posters.
