Stantec is seeking a Project Controls Coordinator-Contract Administrator to support government and public-agency projects in California. You will ensure contract and financial compliance, coordinate with project teams, and manage billing and subconsultant activities.

The role emphasizes cross-functional collaboration, accurate reporting, and adherence to procurement laws. Strong analytical and communication skills are essential for success.

Qualifications

• Bachelor’s degree or equivalent in business, project management, finance, or a related field.
• Typically 5+ years of experience supporting transportation or public-sector projects.
• Strong understanding of consulting contracts, DOT billing requirements, and financial compliance.

Responsibilities

• Ensures contract and financial compliance with state and federal requirements across prime contracts, task orders, amendments, and modifications.
• Interprets and applies rates, fee structures, funding limits, and authorization requirements.
• Tracks and reports on project cost performance.
• Prepares month-end reports for project management and clients.
• Provides contract compliance guidance to project teams.
• Coordinates invoices with Project Controls and Project Accounting to ensure alignment with contracts and approved rates.
• Maintains complete billing support, financial exhibits, client forms, and related documentation.
• Leads coordination of subconsultant compliance activities (approvals, insurance, funding limits, documentation).
• Tracks subconsultant contractual obligations in coordination with project team.
• Reviews subconsultant invoices and contractual obligations with the team.
• Coordinates across project functions to align contract, financial, billing, and pursuit requirements.
• Supports cost or pricing input for proposals and client submittals.
• Identifies and escalates compliance risks and supports corrective actions.
• Maintains auditable contract and financial records per client and company standards.
