Job Summary
The Accounting Assistant provides part-time bookkeeping and administrative accounting support to a private family office, handling day-to-day financial recordkeeping, bill payment, account reconciliation, and document organization across personal and entity-level accounts. Given regular exposure to sensitive personal, financial, and family information, this role requires exceptional discretion, trustworthiness, and strict adherence to confidentiality standards at all times.
Key Responsibilities
- Enter and maintain accurate in accounting software (e.g., QuickBooks) for personal and family-related entities
- Process accounts payable, including reviewing invoices, and preparing and entering payments
- Reconcile bank, credit card, and investment account statements on a regular basis
- Organize and maintain financial records, and supporting documentation in a secure, orderly filing system (physical and digital)
- Track and categorize expenses across multiple accounts, entities, and cost centers as directed
- Assist in preparing basic financial reports and summaries for review by the Controller, CFO, or family principals
- Support preparation of materials requested by outside accountants, tax preparers, or auditors
- Track recurring bills, subscriptions, and payments to help ensure timely processing
- Maintain vendor records and respond to routine vendor inquiries professionally
- Assist with other bookkeeping, data entry, or administrative accounting tasks as assigned
Qualifications
- Bookkeeping or accounting support experience required
- Prior experience in a family office, private household, or high-net-worth environment is a plus
- Experience with non-profit financials or administration is a plus
- Proficiency with QuickBooks or similar accounting software, and strong working knowledge of Microsoft Excel
- High degree of accuracy and attention to detail
- Strong organizational skills with the ability to manage multiple accounts and entities simultaneously
- Demonstrated trustworthiness and comfort handling sensitive financial and personal information
- Ability to work independently with minimal supervision and to exercise sound, discreet judgment
- Excellent written and verbal communication skills
- Must satisfactorily complete a background check as a condition of employment, given the sensitive nature of this role
Confidentiality Requirements
- This position requires strict, ongoing confidentiality regarding all financial, personal, and family matters encountered in the course of employment
- As a condition of employment, the incumbent will be required to sign a confidentiality and non-disclosure agreement and to comply with its terms during and after employment
- The incumbent must not disclose, discuss, or share account information, balances, transactions, family details, addresses, schedules, or other personal or financial information with anyone outside the family office without express authorization
- All physical and digital financial records must be created, stored, transmitted, and disposed of in accordance with the family office's data security and confidentiality policies
- Use of personal devices, personal email, or unapproved cloud storage for family office business is prohibited unless specifically authorized in advance
- Any suspected breach of confidentiality, data security incident, or unauthorized disclosure must be reported to your direct Supervisor or HR.
- Confidentiality obligations under this role continue after the end of employment, regardless of the reason for separation
