Job summary

ERO Resources in Colorado is seeking a Temporary Proposal Coordinator to analyze RFPs and lead the preparation of technical proposals, qualifications, and marketing materials. The role requires coordination with multiple disciplines and teams, including graphic design and technical editors, under the Director of Business Development.

Responsibilities include developing compliant proposals, managing deadlines, maintaining CRM records, and supporting contract and marketing efforts.

Qualifications

  • Bachelor’s degree or commensurate experience in marketing, journalism, or business.
  • 3–6 years in proposal preparation, marketing, or document production.
  • Experience with CRM tools; environmental/architectural/engineering familiarity is a plus.
  • Excellent writing, editing, and attention to detail under tight deadlines.

Responsibilities

  • Analyze RFPs and qualifications to identify pursue-worthy opportunities.
  • Prepare proposals and related documents including resumes, cost estimates, and project descriptions.
  • Coordinate with Project Managers, editors, designers, and staff to produce submittals.
  • Manage multiple proposals for different clients, often with short deadlines.
  • Track deadlines, organize marketing materials, and maintain CRM records.

Job description

The Temporary Proposal Coordinator is responsible for identifying and analyzing requests for proposals (RFPs) and other business opportunities, and spearheading the development of technical proposals, statements of qualification, and other marketing materials. This position requires strong organizational skills, strong written and verbal communication skills, and the ability to manage multiple and diverse tasks with a variety of ERO Project Managers and staff. This position requires close coordination with Project Managers from different technical disciplines (e.g., biological resources, cultural resources, resource planning, and geosciences), the graphic design team, and technical editing team, and reports to the Director of Business Development. This position is non-exempt with benefits. This is a temporary position.

Minimum Education and Experience
  • Bachelor’s degree in a relevant field, such as marketing, journalism, or business or commensurate level of experience.
  • 3 to 6 years of professional experience in proposal preparation, marketing, or document production, preferably in the environmental, architectural, or engineering industries.
  • Certifications or coursework in relevant subject areas or experience in environmental consulting a plus.
  • Experience working with a CRM tool (Unanet preferred).

  • Proposal Development and Management – Skilled in analyzing RFPs, developing compliant and compelling proposals, coordinating across departments, and managing multiple submissions under tight deadlines.
  • Writing and Editing Expertise – Strong command of written communication, including drafting, editing, and proofreading technical and marketing content with clarity, accuracy, and attention to detail.
  • Cross-Functional Collaboration – Ability to work effectively with technical staff, Project Managers, marketing, and the graphic design team to produce cohesive and visually aligned submittals and materials.
  • Organizational and Project Prioritization Skills – Proven ability to manage complex schedules, prioritize tasks, and track evolving proposal components and marketing assets in a fast-paced, deadline-driven environment.
  • Knowledge of Contracting and Industry Practices – Familiarity with environmental consulting terminology and contract mechanisms (e.g., time-and-materials and fixed-fee), and awareness of federal and state proposal requirements.
Performance Expectations and Responsibilities

The Temporary Proposal Coordinator will conduct these tasks under the immediate supervision of the Director of Business Development.

Expected Duties
  • Learn and understand each of ERO’s technical disciplines and project history to tailor project and resume materials to fit location, client, and project type.
  • Analyze RFPs, requests for qualifications, and other opportunities to identify projects to pursue.
  • Identify and track specific proposal requirements, deadlines, and deliverables.
  • Prepare proposals and associated documents including cost estimates, resumes, project descriptions, organizational charts, project schedules, client references, financial requirements, and other necessary requirements.
  • Complete preliminary edits and supervise production of proposal documents (electronic and hard copy).
  • Work with financial information such as rate schedules and various contract mechanisms (e.g., time-and-materials and fixed-fee).
  • Knowledge of federal and state contracting programs and requirements is a plus.
  • Familiarity with environmental and infrastructure issues and projects in Colorado is preferred.
  • Organize and maintain past proposal and marketing information including CRM tool use and maintenance, proposal folders, project descriptions, resumes, references, insurance coverage, and rate sheets.
  • Work with Project Managers, Technical Editors, and graphics staff to maintain, develop, and update proposal and marketing materials.
  • Manage multiple proposals for multiple Project Managers, often with short deadlines.
  • Conduct client debriefs for proposal wins and losses.
  • Work with the Director of Business Development, Marketing Coordinator, and Graphic Designer to develop concepts and establish corporate identity elements and standards for promotional pieces.
  • Co-manage corporate registrations with the Contracts Specialist.
Skills and Abilities
  • Willingness to obtain additional training as needed.
  • Proficiency with Microsoft Office Suite products and CRM software.
  • Proficiency with graphics software that is appropriately professional and communicative of ERO’s capabilities.
  • Exceptional writing and editing skills (e.g., grammar, spelling, proofreading, and conciseness).
  • Ability to prioritize and multitask proposals and scopes of work.
  • Responsive customer service approach to ERO internal staff and external clients.
  • Ability to collaborate with cross-functional teams and individuals throughout the company.
  • Assist with other administrative duties, as needed, or assigned.
  • Knowledge of proposal development and publication development and production.
Physical Requirements

Applicants must be physically capable and possess the skills necessary to perform all aspects of the position requirements, with reasonable accommodation. This position is primarily office-based, involves exposure to computer screens, and requires regular use of a computer, keyboard, and mouse. Applicants must be able to lift up to 10 pounds. This position is sedentary work that primarily involves sitting and standing. Repeating motions may include the wrists, hands, and fingers.

Hybrid Office

This position is based in an ERO designated office with an option for a hybrid work schedule based on employee performance, business needs, and client needs.
