Job summary

McMillen, Inc. is seeking a Proposal Coordinator to join our growing Marketing team in Boise, Idaho.

You will support the proposal development process, coordinate production, ensure compliance, manage documents, and assist with marketing assets to help win high-quality proposals and qualifications packages. Working with Proposal Managers and the Proposal Coordinator Lead, you will help maintain Cosentino/Unanet CRM records, track schedules, and prepare interview materials while upholding

Qualifications

• Bachelor’s degree in Marketing, Communications, Journalism, English, Business, Public Relations, or related field.
• 3–5 years of experience in AEC proposal development.
• Experience supporting federal proposal development (e.g., SF330) and multidisciplinary engineering pursuits.
• Ability to mentor proposal coordinators or junior marketing staff.
• Knowledge of proposal operations, systems, and process improvement initiatives.
• Proficiency in maintaining proposal tracking systems (Smartsheet or similar).
• Familiarity with Cosentino/Unanet CRM.
• Background supporting water resources, civil engineering, environmental, or heavy civil infrastructure pursuits.
• Ability to thrive in a fast-paced, deadline-driven AEC consulting environment.

Responsibilities

• Assist Proposal Managers with development, coordination, production and delivery of proposals and related materials.
• Coordinate proposal production activities: formatting, editing, proofreading, graphics, compliance reviews, submittals.
• Plan proposals by tracking schedules, collecting content, and coordinating with staff and partners.
• Develop and maintain proposal assets: resumes, project descriptions, photography, and marketing resources.
• Support interview preparation with presentation development and rehearsal logistics.
• Follow proposal processes and document management standards set by leadership.
• Keep organized proposal files and update Cosentino/Unanet CRM records.
• Collaborate across departments to ensure timely and high-quality proposals.
• Research, write, edit, and proofread for diverse pursuits.
• Maintain proposal templates, graphics, and marketing materials.
• Identify opportunities to improve quality and efficiency in proposals.
• Use strong communication to share proposal information across teams.
• Maintain regular attendance and a collaborative work style.
