Qualifications

We are growing, and we are seeking an experienced professional to manage a portfolio of condominium associations in our region.

About the Role

The Portfolio Condominium Property Manager is the primary liaison and trusted advisor to the boards of trustees for a portfolio of condominium associations. This is a leadership role focused on governance, financial oversight, and relationship management: the Property Manager owns the complex, advisory, and board‑facing functions while directing a support team which includes our Property Operations Manager, Assistant Property Manager/Administrative Assistant, and accounting staff, who handle the day‑to‑day transactional work. It suits a seasoned professional who thrives on partnering with boards, exercising sound judgment, and protecting and enhancing the value of the communities we serve.

Key Responsibilities

  • Serve as the primary liaison to the boards of trustees across a portfolio of associations, building proactive, trusted relationships with trustees and unit owners.
  • Attend all board meetings; partner with the board president to set agendas, ensure meeting packages are complete, and review them prior to distribution.
  • Prepare and distribute a written Action List within two business days of each board meeting, assign items to the appropriate team members, and track them through completion.
  • Coordinate and oversee annual meetings, including quorum management, elections, and voting.
  • Provide financial oversight of each association: review budgets, reserve funding, and monthly financial statements, and partner with accounting staff throughout the annual budget process and approval cycle.
  • Lead reserve studies and capital improvement planning, coordinating with our Project Manager or a 3rd party Project Manager on project scope and delivery.
  • Interpret and enforce governing documents (master deeds, declarations, bylaws, rules) and ensure compliance with M.G.L. Chapter 183A and the Connecticut Common Interest Ownership Act (Conn. Gen. Stat. Ch. 828, §§ 47‑200 et seq.).
  • Conduct regular property inspections and oversee maintenance operations, emergency‑response protocols, and bid solicitation (work‑order dispatch handled by the Property Operations Manager).
  • Qualify vendors, monitor vendor performance, and manage vendor and contractor relationships.
  • Handle escalated homeowner matters, including violation hearings and architectural review, while routine inquiries are managed by administrative staff.
  • Oversee insurance and risk management for each association.
  • Review and approve payment plans, attorney referrals, fee waivers, and extraordinary service authorizations.
  • Maintain professional certifications and pursue ongoing continuing education.

Qualifications

  • Three or more years of condominium/community association management experience; portfolio management strongly preferred.
  • Working knowledge of Massachusetts condominium law (Chapter 183A) and and the Connecticut Common Interest Ownership Act; association governance experience across both states a plus.
  • Strong financial acumen, including budgeting, reserve planning, and interpreting financial statements.
  • Demonstrated ability to lead and delegate to a support team while retaining accountability for outcomes.
  • Professional designation (CMCA, AMS, PCAM, or CPM) or commitment to obtain one preferred.
  • Proficiency with property management software (AppFolio preferred) and Microsoft Office.
  • Excellent communication, organizational, and problem‑solving skills, with the ability to manage competing priorities with discretion.
  • Valid driver's license and reliable transportation for regular site visits.
