Job summary

Job Summary

Prepares and maintains the necessary data for recording USM’s personal property. Responsible for recording the acquisition of property, the tagging of property, the distribution of property, and the filing of proper documentation, as well as conducting inventory audits.

Primary Duties and Responsibilities
  • Prints and logs allpurchase orders received meeting State guidelines, prints tags for andlogs asset numbers assigned to each qualifying asset, and maintainsdatabase for all such transactions. This database is maintained and updatedweekly in the Property Accounting shared drive for all Property Accountingand Receiving personnel to review.
  • Assists in assigningasset numbers to all equipment purchases or donations to the Universitythat meet the criteria of State guidelines in a timely and efficientmanner. This will include all campuses including Hattiesburg, StennisSpace Center and Gulf Park (Long Beach).
  • Completes an AcquisitionReceipt on each asset sent out, and coordinates information needed on thepersonal property in preparation for entry by the Senior PropertyAccounting Clerk into the asset management program.
  • Maintains filing systemfor all Purchase Orders, Acquisition Receipts, and Property Affidavitscompleted. Prepares outdateddocuments (according to University Record Retention Policy) for shredding.
  • Assists in removing assetnumbers from assets when returned for repair or transferred to other stateor out-of-state institutions. Maintainsdocumentation of all tags removed until repairs have been returned. Updates information of the repaired item,e.g., new serial number, and replaces the tag when returned.
  • Reviews and researchesoutdated purchase orders (old purchase orders received, but withoutpayment being made), and incomplete purchase orders for finalresolution. Advises PropertyAccounting Supervisor of any issues that will require his/her attention,and performs other duties as assigned.
Minimum Qualifications

High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.
Valid Mississippi Driver's License (this position requires occasional travel to and from other USM campuses)

Knowledge, Skills & Abilities
  • Previous experience with an asset management program. Proficient in Microsoft Word and Excel. Excellent oral and written communication skills.
