Job summary

We are seeking a Project Manager – Experiential / Trade Show Projects to oversee custom trade show exhibits, activations, branded environments, and related initiatives from internal handoff through production, installation, and closeout.

The role coordinates schedules, budgets, scope, and client communications across sales, design, graphics, estimating, production, warehouse, shipping, and installation teams to meet timelines and specs.

Qualifications

  • 2+ years in project management, project coordination, production management, or related experience.
  • Experience managing projects from kickoff through completion.
  • Experience coordinating schedules, deadlines, budgets, vendors, documentation, and deliverables.
  • Experience coordinating work across multiple departments or teams.
  • Strong written and verbal communication for client, vendor, and internal coordination.

Job description

We are seeking a Project Manager – Experiential / Trade Show Projects to manage custom trade show exhibits, experiential activations, branded environments, and related projects from internal handoff through production, installation, and closeout.

The Project Manager is responsible for coordinating project schedules, budgets, scope, client communication, design requirements, production, vendors, logistics, and installation. This position works across sales, design, graphics, estimating, production, warehouse, shipping, and installation teams to ensure project requirements are completed according to established timelines and specifications.

The role also requires knowledge of design, branding, visual presentation, materials, and production quality. The Project Manager reviews project deliverables against approved designs and brand standards and coordinates corrections when discrepancies are identified.

Formal graphic design or art training is not required. Candidates should have experience reviewing visual or branded deliverables and working with creative, design, production, or fabrication teams.

Key Responsibilities
Project Management
  • Manage multiple experiential, trade show, exhibit, and branded-environment projects from internal handoff through completion.
  • Develop and maintain project schedules, milestones, deadlines, budgets, and deliverables.
  • Coordinate internal project kickoffs and communicate project requirements, responsibilities, and deadlines.
  • Track project scope and coordinate changes, approvals, and change orders.
  • Maintain project documentation, specifications, approvals, schedules, and client communications.
  • Monitor project progress and follow up with internal teams, vendors, and other stakeholders regarding outstanding deliverables.
  • Identify scheduling, budget, production, design, or logistical issues and coordinate corrective actions.
  • Complete project closeout documentation and related follow-up.
Design, Branding & Quality Coordination
  • Review project artwork, graphics, layouts, materials, finishes, signage, displays, and other visual elements against approved project specifications.
  • Verify that produced elements align with approved branding requirements, including logo usage, graphic placement, colors, dimensions, materials, and overall presentation.
  • Compare production deliverables with approved designs and communicate discrepancies to the appropriate design or production team.
  • Coordinate revisions and corrections before shipment or installation when required.
  • Review project components for consistency, completeness, and production quality.
  • Maintain documentation of approvals and design changes throughout the project lifecycle.
  • Coordinate with design and production teams to confirm that project requirements can be executed within established budgets and schedules.
Client Communication
  • Serve as the primary client contact following project handoff.
  • Communicate project schedules, milestones, approvals, changes, and status updates.
  • Obtain required client approvals for artwork, materials, specifications, and project changes.
  • Document client decisions and communicate approved changes to internal teams.
  • Address project questions and coordinate solutions with the appropriate internal departments.
  • Manage client expectations regarding scope, timelines, deliverables, and project changes.
  • Coordinate with sales, design, estimating, graphics, production, fabrication, warehouse, shipping, and installation teams.
  • Communicate specifications, deadlines, approvals, and project changes across departments.
  • Coordinate external vendors and suppliers when required.
  • Track vendor deliverables and confirm completion according to project specifications and schedules.
  • Coordinate shipping, installation, dismantle, and other event-related logistics as assigned.
Qualifications
  • 2+ years of project management, project coordination, production management, or related experience.
  • Experience managing projects from kickoff through completion.
  • Experience managing schedules, deadlines, budgets, vendors, documentation, and project deliverables.
  • Experience managing multiple projects or workstreams concurrently.
  • Experience communicating directly with clients regarding project requirements, status, approvals, or changes.
  • Experience coordinating work across multiple departments or functional teams.
  • Ability to review project specifications and identify discrepancies between approved requirements and completed deliverables.
  • Working knowledge of design principles, branding, graphics, materials, finishes, layout, or visual presentation.
  • Ability to review visual and branded deliverables against approved creative concepts and brand standards.
  • Experience using project management, scheduling, documentation, or workflow systems.
  • Written and verbal communication skills required for client, vendor, and internal project coordination.
