Qualifications

  • At least two years of project expediting or related manufacturing experience.
  • Proficiency with ERP systems and Microsoft Office.

Responsibilities

  • Track assigned projects, purchase orders, materials, drawings, fabrication activities, inspections, and shipments against schedules.
  • Maintain expediting logs, milestone trackers, open-item lists, and status reports with current information.
  • Follow up with Engineering, Purchasing, Production, Quality Control, Shipping, and other departments for updates.
  • Identify schedule risks, material shortages, and bottlenecks; elevate concerns to the Project Manager.
  • Expedite vendor drawings, approvals, materials, and subcontracted services to meet delivery dates.
  • Coordinate priority and rush orders balancing project requirements and capacity.
  • Prepare progress reports and participate in status meetings, documenting action items.
  • Support shipping readiness with inspections, documentation, and delivery information.
  • Communicate professionally with internal teams, vendors, and customers and perform additional duties.

Job Description
Job Summary

The Project Expeditor supports the successful execution of customer projects by tracking materials, engineering deliverables, fabrication activities, inspections, and shipments from order entry through final delivery. This position works closely with Project Management, Engineering, Purchasing, Production, Quality Control, Shipping, vendors, and customers to identify potential delays, obtain timely updates, and keep project milestones on schedule. The Project Expeditor maintains accurate status information, communicates risks promptly, and follows action items through completion to support on-time delivery and customer satisfaction.

Key Responsibilities
  • Track assigned projects, purchase orders, materials, drawings, fabrication activities, inspections, and shipments against established schedules and delivery commitments.
  • Maintain project expediting logs, milestone trackers, open-item lists, and status reports with accurate and current information.
  • Follow up with Engineering, Purchasing, Production, Quality Control, Shipping, and other departments to obtain updates and keep project activities moving forward.
  • Identify schedule risks, material shortages, overdue action items, and production bottlenecks; promptly elevate concerns to the Project Manager.
  • Expedite vendor drawings, approvals, materials, and subcontracted services to support project requirements and committed delivery dates.
  • Coordinate priority and rush orders while balancing project requirements, production capacity, and customer commitments.
  • Prepare clear progress reports and participate in internal and customer status meetings, documenting action items and following them through completion.
  • Support shipping readiness by confirming required inspections, documentation, release requirements, and delivery information are completed before shipment.
  • Communicate professionally with internal teams, vendors, and customers and perform additional duties as assigned to support project execution.
Required Qualifications
  • Bachelor's degree in Engineering, Technology, Supply Chain, Business, or a related field; equivalent relevant experience will be considered.
  • At least two years of project expediting, project coordination, procurement, or production-control experience in manufacturing, fabrication, oil and gas, or a related industry is preferred.
  • Proficiency with ERP systems and Microsoft Office, preferably strong EXCEL & Word.
Required Skills
  • Strong understanding of project schedules, manufacturing workflows, procurement activities, and material-status tracking.
  • Exceptional organization and attention to detail, with the ability to maintain accurate records across multiple active projects.
  • Ability to manage competing priorities, urgent requests, and tight deadlines in a fast-paced manufacturing environment.
  • Strong follow-up skills and the persistence to obtain timely information and drive open items to completion.
  • Ability to recognize schedule risks, investigate causes, and coordinate practical next steps with the appropriate teams.
  • Excellent written, verbal, and interpersonal communication skills.
  • Ability to prepare concise project updates and clearly communicate changes, delays, and required actions.
  • Ability to build effective working relationships across departments and communicate professionally with vendors and customers.
  • Sound judgment and the ability to elevate issues appropriately and in a timely manner.
  • Self-motivated, dependable, and comfortable working independently while supporting a collaborative project team.
  • Adaptable and responsive to changing project priorities and operational needs.
